Manages all activities necessary to recruit, train, orient, supervise, and support lay volunteers to for the various volunteer positions.Job DescriptionThese Principal Accountabilities, Requirements and Qualifications are not exhaustive, but are merely the most descriptive of the current job. Management reserves the right to revise the job description or require that other tasks be performed when the circumstances of the job change (for example, emergencies, staff changes, workload, or technical development).Job AccountabilitiesREGULATION & STANDARDS: Maintains accurate statistics on a timely basis. Evaluates volunteers on an annual basis. Completes written documentation. Monitors and evaluates volunteer documentation. Maintains documented compliance with all appropriate safety standards. Maintains a file on each volunteer. Develops and updates training materials. Makes recommendations for the development of new/revised policies and procedures. Monitors volunteer activity for optimal quality, compliance and risk reduction. Contributes to annual evaluation of volunteer program and other agency evaluations. Communicates agency policy and procedures to volunteers and insures compliance.Relationships Promotes utilization of volunteers by patients and families. Participates in patient/family assessment regarding utilization of volunteer services. Monitors and evaluates volunteer documentation in patient chart. Provides volunteer with appropriate medical and psychosocial information while being mindful of confidentiality; updates information as necessary throughout the assignment. Monitors ongoing volunteer assignments, evaluates performance of volunteers through discussion with patient/family and feedback from the interdisciplinary team. Represents volunteer activity and perspectives at hospice team meeting and within the agency. Maintains effective liaison with volunteer, available as a resource to respond to questions and share feelings generated by the assignment. Implements volunteer appreciation activities.Human Resources Actively recruits new volunteers into the program. Maintains a record of all recruitment activities. Interviews all volunteer applicants. Ensures a written application is received from each applicant, and processes appropriately. Coordinates training and orientation of new volunteers and assures volunteer involvement of team members in training classes. Where applicable, designs, implements and documents orientation of new clerical and foundation volunteers. Assures that volunteer training program is consistent with regulations. Evaluates and recommends improvements to the volunteer training and orientation program.Volunteer Support & Direction Schedules and coordinates volunteer in-service training programs. Schedules and facilitates regular direct volunteer support meetings. Promotes regular attendance. Maintains accurate records of educational and support activities. Provides individual support and consultation to volunteers in relation to issues of loss and bereavement. Mediates issues of conflict and provides creative problem solving. Assesses volunteer educational needs and creates opportunities for learning.Animal Assisted Therapy Program (where Appropriate) Oversees program operations: development, implementation, ongoing maintenance and evaluation. Supervises the coordinator. Provides orientation and training to volunteers. Designs and distributes promotional materials. Develops and maintains program protocols and procedures.Community Representation If requested, does public speaking to educate and inform the public and professionals about hospice and volunteerism. Routinely attends team meeting and provides information about volunteer/patient/family interactions and observations. If requested, participates in meetings/activities of the larger volunteer coordinator community. Represents Sutter positively in the community. Responsible for the coordination of programs. Takes an active role in developing, organizing and implementing fund-raising events and in the development of community outreach activities to enhance program visibility. Participates on agency or task forces or committees and attends agency coordinator meetings.Senior Outreach Program Oversees program operations for programs and is directly responsible for services, safety, education and support groups. Establishes departmental goals and strategic objectives, prioritizes within the boundaries of available resources, monitors progress and evaluates results. Supervises staff, students and volunteers. Facilitates orientation and training, ongoing in-service training, and evaluations. Plans and directs the program. Assesses and enrolls participants. Provides referrals and resources to clients, participants, staff, employees and volunteers. Serves as a liaison. Develops operating expense budget and monitors expenses. Collects data necessary to evaluate ongoing programs to measure satisfaction of participants, staff, volunteers and caregivers.
