Located in Vineyard, Utah, we're growing quickly and building a strong internal team to support that growth.Today, our operation includes approximately 100 employees working across production, operations, and support roles, and we continue to scale as demand increases.We are currently hiring an Executive Assistant to support both office operations and work directly with the owner in a high-trust, high-impact role.Role OverviewThis role is a hybrid position combining executive administrative support, operational coordination, and direct support to the owner, with light front-desk coverage as neededIn the short term, this position will focus on learning internal systems, supporting current Executive Assistants, and helping keep daily operations running smoothly.Over time, this role will evolve into a key support position for the owner, helping manage priorities, handle a wide variety of tasks, and serve as a dependable "go-to" resource across the business.This role requires a high level of trust, responsiveness, and flexibility in supporting the owner's priorities as they evolve.While this role may assist with phones and visitors when needed, its primary focus is supporting the owner and helping keep operations running smoothly.This is an ideal opportunity for someone who is highly organized, proactive, and enjoys stepping into a wide variety of tasks, prioritizing effectively, and figuring things out without constant direction.Key Availability RequirementDue to planned team absences, this position requires full availability from July 15 through September 15, 2026Full availability during this period is requiredWe are not able to accommodate planned time off during those datesApplicants should plan accordingly before applying, as this is a critical coverage period for the teamThis requirement will be discussed during the interview processWhat Success Looks Like in This RoleThe owner and leadership team feel more organized and less reactiveTasks and follow-ups are handled proactively without needing remindersCommunication with customers and internal teams is clear, timely, and professionalPriorities are managed effectively, even when multiple things are happening at onceProblems are identified early and solutions are suggested, not just escalatedKey ResponsibilitiesDirectly support the owner with day-to-day tasks, projects, and prioritiesManage emails, scheduling, and follow-ups on behalf of leadershipAssist with coordination across teams to keep projects moving forwardHelp track orders, timelines, and internal prioritiesSupport customer communication and follow-ups as neededProactively communicate with customers to provide updates, follow up on open items, and ensure a positive, professional experienceProvide administrative support to leadership and Executive AssistantsAssist with documentation, reporting, and general office organizationStep in to support Executive Assistants during peak periods or absencesTake initiative on miscellaneous tasks and problem-solving as needs ariseAssist with answering phones and greeting visitors as neededBalance front-desk coverage with higher-priority executive and operational responsibilitiesQualifications5+ years of administrative or executive assistant experience requiredPrior experience supporting an owner, executive, or leadership team strongly preferredStrong communication skills with the ability to build and maintain professional relationshipsHighly organized with strong attention to detailAbility to multitask and manage shifting priorities in a fast-paced environmentComfortable working in a fast-paced environment where priorities can shift quicklyAbility to prioritize responsibilities and manage interruptions without losing momentum on key tasksProficient in Microsoft Office (Word, Excel, Outlook)Strong problem-solving skills and ability to take initiativeHigh level of professionalism and discretion with sensitive informationDependable, proactive, and solution-orientedGrowth OpportunityThis is a long-term role with the opportunity to grow alongside the company.
