Fleet CoordinatorThe Fleet Coordinator will assist the Fleet Manager in an important role in supporting the day-to-day operation of the company's vehicle fleet. This position is responsible for maintaining accurate fleet records, coordinating vehicle documentation, assisting with registrations and insurance needs, and ensuring fleet information is properly tracked across internal systems. The Fleet Coordinator will work closely with internal departments, dealerships, and service providers to help keep fleet operations organized and running smoothly. This full-time, onsite position is based at our Downtown Flint location and includes occasional travel between company locations throughout Genesee County as well as periodic visits to the Secretary of State. The Fleet Coordinator will report directly to the Fleet Manager.
Essential Duties and Responsibilities:
Process driver-related requests accurately and in a timely manner.
Maintain organized vehicle files and fleet documentation.
Update and monitor vehicle movements within the Fleet tracking system.
Follow up with various Vendors and suppliers to track the status of vehicles that have been approved for service.
Visit the Secretary of State as needed to manage titles, registrations, and other vehicle-related documentation.
Track and record vehicle maintenance costs and upkeep within the company's ERP system.
Prepare vehicle documentation packets for newly purchased fleet vehicles.
Maintain and update inventory records for excess or surplus vehicles.
Monitor and maintain vehicle registrations and insurance records.
Assist with insurance claims when necessary.
Perform data entry and maintain records within the company's fuel card system.
Maintain and update email distribution lists for all active company drivers.
Assist with additional fleet-related administrative tasks as needed.
Requirements:
Must have a valid Driver's license.
Prior customer service experience required.
Previous experience working with vehicles, fleet operations, or automotive-related environments preferred.
Strong multitasking skills with exceptional attention to detail.
Prior office or administrative experience required.
Proficiency in Microsoft Office (Word, Excel, Outlook).
Strong organizational and communication skills.
Ability to manage multiple tasks and deadlines in a fast-paced environment.
DOT knowledge/compliance preferred.
Working Conditions:
This is a full-time, onsite position based at our Flint office.
Work is primarily performed in a professional office environment.
Frequent use of computers, phones, and standard office equipment is required.
Occasional travel within Genesee County to company locations may be required.
Ability to sit for extended periods and perform regular computer-based work.
Ability to manage multiple administrative tasks in a fast-paced environment.
