Key Responsibilities:
Front Desk Management:
Greet and assist clients, subcontractors, and visitors upon arrival.
Answer and direct phone calls in a polite and professional manner.
Manage incoming and outgoing mail, deliveries, and courier services.
Maintain a clean and organized reception area.
Tracking all "Kudo’s" for the monthly meetings.
Appointment Scheduling:
Coordinate and schedule sales appointments, sales meetings, and consultations for the sales team.
Once an appointment is scheduled, ensure that the pre-mailer packet is sent out promptly. This process includes labeling and stamping all materials with Madole's business information, as well as maintaining an adequate supply of literature for the office and upcoming events.
Confirm appointments with clients and ensure all necessary information is communicated effectively.
Manage and update the sales team's calendar, ensuring that all schedules are accurate and conflicts are promptly resolved.
Utilize scheduling software to book and track appointments, ensuring optimal time management for the sales team.
Adjust schedules as needed to accommodate changes or cancellations, and promptly communicate any updates to relevant parties.
Responsible for ordering and purchasing office supplies, as well as items for monthly events, including gift cards for birthdays, anniversaries, and team awards. Additionally, this role involves creating and distributing flyers to inform the team of the date and time for the Builders Breakfast.
Client Interaction:
Serve as the primary point of contact for clients regarding appointment scheduling, providing timely and courteous assistance.
Answer incoming calls and emails related to appointment requests, inquiries, and rescheduling.
Gather and record client information accurately, ensuring that the sales team has all necessary details prior to appointments.
Follow up with clients to confirm appointments, send reminders, and address any concerns or questions.
Administrative Support:
Maintain accurate and up-to-date records of all appointments, client interactions, and scheduling changes.
Assist the sales team with administrative tasks, including preparing reports, entering data into CRM systems, and processing documentation.
Collaborate with the sales team to optimize scheduling processes and improve overall efficiency.
Team Collaboration:
Work closely with the sales team and managers to ensure smooth communication and coordination.
Participate in team meetings to stay updated on sales goals, strategies, and upcoming appointments.
Provide feedback and suggestions to improve scheduling procedures and enhance client satisfaction.
Coordinate and organize company breakfasts, sales events, and home shows.
Maintain key employee bios, manage uniform sizing, and update employee photos.
Qualifications:
High school diploma or equivalent; additional qualifications in office administration, business, or a related field are a plus.
Previous experience in scheduling, administrative support, or a similar role, preferably in a sales or customer service environment.
Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with CRM and scheduling software.
Ability to handle multiple tasks simultaneously and work well under pressure.
Strong attention to detail and accuracy in managing schedules and client information.
