This role supports end-to-end payroll operations, including data validation, payroll processing, auditing, and employee support, while ensuring compliance with federal, state, and local laws.The Payroll Specialist also plays a critical role in maintaining payroll accuracy, supporting standardization efforts, and reinforcing a strong control environment within a centralized payroll function.What You’ll DoPayroll Processing & ExecutionProcess multi-state, multi-entity payrolls on a regular cycle (weekly, biweekly, semimonthly as applicable)Review and validate payroll inputs including:Time and attendance data (e.g., eTime)New hires, terminations, and status changesEarnings, deductions, and tax updatesEnsure payroll is processed, reviewed, and accepted in accordance with established deadlines and controlsSupport off-cycle payrolls, bonus runs, and special paymentsAudit, Controls & CompliancePerform detailed payroll audits to ensure accuracy of gross-to-net calculationsExecute reconciliation processes (payroll registers, tax filings)Follow corporate standard processes for payroll documentation and reconciliationsMaintain SOX-compliant documentation and evidence of payroll reviews and approvalsEnsure compliance with federal, state, and local wage and tax regulationsEmployee Support & Issue ResolutionRespond to employee payroll inquiries in a timely and professional mannerInvestigate and resolve discrepancies related to pay, taxes, and deductionsPartner with HR and managers to ensure accurate employee data flow into payrollData Management & SystemsMaintain payroll data integrity within systems such as Workday and ADP Workforce NowDownload, organize, and maintain payroll reports in accordance with corporate standardsEnsure payroll folders and documentation are complete, accurate, and audit-readyProcess Improvement & StandardizationSupport payroll centralization efforts by adhering to standardized processes and controlsIdentify process gaps, inefficiencies, and opportunities for improvementAssist in system implementations, transitions, and process documentation updatesEducation & ExperienceWHAT YOU’LL BRING TO THE ROLE:Bachelor’s degree in Accounting, Finance, Business, or related field preferred2–5 years of payroll processing experienceExperience with multi-state payroll strongly preferredSkills & CompetenciesStrong understanding of payroll laws, tax regulations, and compliance requirementsHigh attention to detail and accuracyAbility to manage multiple payroll cycles and deadlinesStrong analytical and problem-solving skillsEffective communication and customer service skillsTechnical SkillsExperience with payroll systems (Workday, ADP, or similar)Proficiency in Microsoft Excel (reconciliations, data analysis)Familiarity with timekeeping systems (e.g., eTime) preferredCertifications (Preferred)Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC)Success Measures100% on-time payroll processing and acceptanceMinimal payroll errors and adjustments post-processingComplete and audit-ready payroll documentationAdherence to corporate payroll controls and processesPositive employee experience and timely issue resolutionRole Alignment in a Centralized ModelThis role operates within a centralized payroll structure and partners closely with:Group Payroll Managers (oversight & escalation)HR (employee data ownership)Finance (GL and reconciliation alignment)Pay Range66,666.66 - 100,000.00We offer a comprehensive benefits package that may include medical, dental, vision, 401k matching, and more!Following receipt of a conditional offer of employment, candidates will be required to complete additional job-related screening processes as permitted or required by applicable law.We are an equal opportunity employer, and all applicants will be considered for employment without attention to their membership in any protected class.
