Purpose Statement
The Ancillary and Facilities teams provide the structure and support that allow associates to deliver excellence with confidence and ensure that every community feels like home. We simplify Due Diligence, Transitions, Utilities, Facilities services, and Capital Management, and strengthen Vendor partnerships so associates feel supported, clients feel confident, and residents feel at home.
Position Summary
The Transitions Associate will be responsible for supporting the Transitions team’s efforts of integrating all new properties into RPM Living’s management. This position would directly report to Senior Transitions Manager and be primarily focused on internal takeover processes administration.
Responsibilities
Manage communication, information, and resolutions with internal and external teams
Initiate proactive follow-ups with internal and external teams, track status updates, request outstanding documentation, and ensure all transition milestones are progressing according to schedule
Accurately enter, update, and verify property and account information across relevant platforms (e.g., CRM, project trackers, accounting systems) to ensure data integrity during onboarding and offboarding processes. Follow up on pending items in a consistent and timely manner
Provide feedback and actionable ideas for the continued development of resources used during property transitions
Facilitate property onboarding/off-boarding by distributing information, answering team questions, and coordinating initial setup and system access for new properties
Assist in the continued development of transition processes through process reviews
Cross-train interdepartmentally and assist in training sessions with Transition associates
SOP management and updates of specified tasks
Create and submit surveys per specific team cadence
Assist in the review of survey analytics and provide insight into actionable changes/updates to current processes
Take proactive steps to identify opportunities for improving workflows, team collaboration, and overall transition outcomes, contributing positively to team culture and performance. Assist with additional takeover tasks as assigned by the Transitions Manager
Assist the Transitions Manager with support and training of the team
Education and Experience
High school diploma or equivalent
One year of administrative, coordination, or support experience in a fast-paced environment
Knowledge of basic property transition workflows, including onboarding and offboarding procedures
Knowledge of SOP development and maintenance practices to ensure procedural documents are accurate, accessible, and reflective of current workflows
Skilled in accurately entering and maintaining information across various platforms and systems
Skilled in managing multiple responsibilities simultaneously, staying organized and focused
Skilled in accurately entering and maintaining information across various platforms and systems
Ability to communicate effectively both verbally and in writing
Ability to learn new systems and programs
Ability to identify opportunities for process improvements and contribute proactively
Ability to maintain confidentiality within the team, company, and externally
Physical Requirements
May be required to sit or stand for extended periods of time
Must be able to read documents, computer screens, and data
Must be able to hear and understand verbal communications in person and over the phone or computer
May occasionally be required to lift or carry items such as files or office supplies weighing up to 15 poundsMust be able to operate a computer, keyboard, mouse, and other office equipment
Work Environment
This is a hybrid role, requiring the associate to work in one of our corporate or regional offices three to four days per week, at the discretion of the managers.
The office is an open setting, which may include bright lights, constant noises, and distractions
