Position Overview
EnableCV is seeking a Human Resources Coordinator to support day-to-day HR operations across a small, flexible, fast-growing medical device company. EnableCV has 65 full-time employees who need consistent and high quality HR support from our "small but mighty" HR team.
This role supports the practical HR functions that help keep the business moving: onboarding, employee documentation, background checks, E-Verify, benefits support, HR records, compliance tracking, employee questions, helping with recruiting, supporting the HR calendar, and general HR administration. The right candidate is organized, dependable, professional, and eager to learn HR in a fast-moving start-up like environment. This role works closely with the HR leader, department managers, payroll, risk management, and legal counsel.
What This Role Supports
The HR Coordinator will help ensure ECV's HR function is accurate, organized, responsive, and consistent. This person will support employees and leaders across multiple departments, job types, and at our headquarters and distribution center.
Success in this role requires someone who can work in the details, communicate clearly, maintain confidentiality, and follow through on assignments. The ideal candidate understands that HR in a high growth environment must be practical, timely, accurate, and supportive of our overall company-wide strategic initiatives.
Key Responsibilities
Benefits, Leave, and Employee Support
Support employees with general questions related to benefits, HR processes, company policies, and employee documentation
Assist with benefit enrollment, employee benefit changes, and open enrollment support
Help maintain accurate benefits and leave-related documentation
Coordinate with employees, managers, payroll, and outside partners to help ensure HR information is accurate and timely
Ensure that benefit administration accounts are managed effectively and accurately.
Workforce Administration and Compliance
Support new hire onboarding, including paperwork, employment documentation, system entry, and employee file setup
Assist with background check processing, site-specific security compliance requirements, and IT access approvals for new hires
Administer or assist with E-Verify for new hires, including follow-up on documentation as needed
Support drug testing coordination, documentation, scheduling, and record tracking
Assist with employment verification requests
Help maintain required employee records, forms, acknowledgments, and compliance documentation
Support HR reporting, audits, and document tracking to help ensure files are accurate, organized, and audit-ready
Employee Relations and Manager Support
Serve as a professional and approachable HR contact for basic employee questions and requests
Assist with organizing documentation related to employee concerns and elevate matters to the HR leader as appropriate
Support managers with basic HR documentation, forms, and process questions
Help track follow-up items related to employee requests, documentation, and HR processes
Maintain confidentiality and professionalism when handling sensitive employee information
Labor, Policy, and Regulatory Support
Help maintain employee policies, handbooks, required forms, and HR procedures
Support documentation needs related to HR compliance or employee records under the direction of the HR leader
Help ensure HR materials are current, organized, and easy for employees and managers to use
Assist with required postings, notices, and employee communication materials
HR Systems and Process Improvement
Support HRIS administration, data entry, employee record maintenance, and system updates
Help maintain accurate employee information across HR systems and files
Assist with HR reports, workforce tracking, and compliance logs
Help organize HR workflows, templates, and documentation practices
Events and Calendars
Help organize and communicate with candidates and internal customers to help manage HR Leader schedule
Assist with events, social events (birthdays, retirement parties etc), recognition events etc.
Run errands to ensure we have things that are needed to execute these events successfully

Success in this role means HR work is handled with accuracy, organization, confidentiality, and follow-through. New hires are onboarded smoothly, have correct information, and feel supported. Employee records are complete and easy to find. Compliance items are tracked. Employee questions are handled professionally. Managers receive timely support.

Qualifications & Skills
Required Qualifications
0-2 years of HR, administrative, recruiting, payroll, customer service, or office support experience
Strong organization, attention to detail, communication, and follow-through skills
Ability to handle confidential and sensitive information with discretion
Ability to work effectively with employees, managers, payroll, safety, talent acquisition, and outside partners
Proficiency with Microsoft Office 365, including Outlook, Excel, Word, PowerPoint, and Teams
Ability to manage multiple priorities and work through frequent interruptions
Professional written and verbal communication skills
Preferred Qualifications
Associates/Bachelors degree in Human Resources, Business Administration, Communications, Psychology, Organizational Development, or a related field
Experience in regulated trades, medical device, healthcare, pharmaceutical, or R&D/engineering based businesses.
Internship or work experience in human resources, recruiting, payroll, benefits, compliance, or office administration
Familiarity with HRIS systems, applicant tracking systems, E-Verify, background checks, or employee recordkeeping – ability to learn new systems easily
