Primary Purpose: To provide clerical support and office management for the Facilities, Planning & Construction Department and district energy manager.
Qualifications:
High school diploma or GED
Proficiency in Word, Excel, PowerPoint
Ability to deal with the public in a positive manner
Effective communication and interpersonal skills with all levels of personnel
Demonstrate acceptable work habits including teamwork, initiative, and dependability
Ability to remain calm during stressful situations.
Maintain confidentiality
Ability to create and maintain physical and electronic files and reports
Minimum of five years successful experience in a clerical position
Major Responsibilities and Duties:
Provide office support to the Energy Manager and assist with the accurate and timely processing of requests for heating, cooling, and lighting on our Energy Management systems.
Research, analyze, and compile reports utilizing specialized data programs and spreadsheets. Maintain a database of reports.
Accurately process purchase orders/invoices for payment.
Receive communications and disseminate to Department Personnel to facilitate needed response.
Plan and schedule appointments, training, travel, and meetings as required.
Process maintenance requests and scheduling from campuses and district buildings.
Perform clerical duties necessary to assist department personnel.
Purchase and stock office supplies for Support Services facility as required.
Provide support to ensure clear communication with departments.
Assist with the review of energy invoices and billing to ensure accuracy.
Assist with energy audits and reports.
Perform other duties and/or tasks that may be assigned.

Equipment Used: Personal computer, copier, phone, calculator, scanner, Fax machine
Working Conditions: Ability to maintain emotional control under stress; work with frequent interruptions; occasional prolonged hours; repetitive hand motions; prolonged computer use. Position requires frequent bending, stooping, twisting, pulling, overhead reaching, sitting, and keyboarding. Position requires the ability to lift 25 pounds to waist high.
