Blake offers highly competitive salary and benefits packages, as well as significant support for local and national professional development opportunities.Essential Functions and ResponsibilitiesAdministrative/Office SupportPrimary calendar manager for Upper Elementary (UE), includes processing and coordinating all Lower School event detailsMaintain UE director's calendar and assist with scheduling appointments for the UE director and assistant director as neededSchedule meeting spaces and order refreshments as neededMaintain office equipmentAssist administrators with upcoming events (admissions, parent luncheons, student gatherings, etc.)Support the Effective Teaching Initiative (ETI) through scheduling, documenting, communicating and tracking all steps of the process for UE facultyCreate a welcoming, safe and respectful office environmentHandle sensitive issues with empathy and confidentialitySort, distribute and manage UE mail and deliveriesProvide back-up and support for office manager in dealing with students, parents and phone callsProvide additional clerical support to administrators as neededSupport daily dismissal process for UECoordinate logistics and communication for all faculty hires in UEBudgetsManage, track and reconcile campus/divisional budgetsProduce individual monthly budget reports for ELC and UE directors and facultyManage, track and code monthly employee credit card purchases for reimbursements in DivvyManage, track and coordinate use of title and state fundsPurchasingCreate and process purchase ordersResearch product pricing and quality from various vendors and create the approved supply ordering listsMake purchasing decisions, work with vendors, order supplies and maintain the storeroom and copy roomsOrder classroom supplies and resource materials for faculty and administratorsProgress ReportsOversee bi-annual progress report process for all Lower School; merge input for production of specialist reports, proofread and format reportsMinimum QualificationsRequired:Three years administrative assistant experience or equivalentAbility and desire to interact with Lower School childrenKnowledge of Microsoft Word, Excel, FileMaker Pro, Google Docs, Google Mail and various other computer softwareExcellent organizational skillsAbility to be flexible, handle interruptions, multitask and set priorities to complete work in a timely mannerAbility to work independently as well as a team playerStrong written and oral communication skillsStrong interpersonal skills; ability to relate well to colleagues, students, parents and visitorsStrong proofreading skillsPreferred:Current certification in CPR, first aid and AED use2-year or 4-year college degreeDisclaimer:The information contained herein is not intended to be an all-inclusive list of the duties and responsibilities of the job, nor are they intended to be an all-inclusive list of the skills and abilities required to do the job.
