Executive Assistant
Job Summary:Our client is seeking an Executive Assistant to join their team! This position is located in Basking Ridge, New Jersey.Duties:Provide direct executive support to the Vice President in daily operations while maintaining a strategic, long-term perspectiveManage the executive calendar with foresight, anticipating needs and potential conflicts while ensuring confidentialityPartner with the VP to optimize time management and maintain a structured yet flexible scheduleServe as a key liaison for partners and stakeholders, managing communications and acting as an additional point of contact for the VP's officeCoordinate complex travel arrangements and cross-functional planningPrepare, process, and reconcile expense reports accurately and on timeEnsure adherence to organizational policies and procedures, maintaining proper protocols across all activitiesScreen, prioritize, and respond to internal and external communications with professionalism and discretionSchedule and organize meetings, appointments, and events with attention to detail and accuracyGreet visitors and manage incoming calls, ensuring a professional and efficient office presenceCollaborate with facilities and real estate teams to resolve logistical issues and coordinate audio/video support for meetings and town hallsPrepare meeting agendas, materials, and follow-ups in coordination with the VP and leadership teamIdentify and connect key stakeholders and resources to support the VP's initiativesProvide administrative and project support to the broader leadership team as neededRecommend and implement process improvements to enhance operational efficiency and team productivitySupport office culture and employee engagement by assisting in the planning and execution of on-site events Desired Skills/Experience:5+ years of experience as an Executive Assistant, preferably supporting C-suite or senior executivesAdvanced proficiency in Google Workspace (Gmail, Calendar, Docs) and Microsoft Office Suite, with familiarity in collaboration tools such as SlackStrong organizational, multitasking, and problem-solving skills, with proven ability to manage projects and budgetsExcellent written, verbal, and active listening communication skillsDemonstrated ability to work independently, exercise sound judgment, and take initiative in a fast-paced environmentProven ability to handle sensitive and confidential information with discretion and professionalismStrong time management skills with the ability to prioritize multiple tasks and deadlines across different time zonesExperience coordinating complex logistics and communications for global teams Benefits:Medical, Dental, & Vision Insurance PlansEmployee-Owned Profit Sharing (ESOP)401K offeredThe approximate pay range for this position is between $32.29 and $46.13. Please note that the pay range provided is a good faith estimate. Final compensation may vary based on factors including but not limited to background, knowledge, skills, and location.
