Medical Records/Central Supply CoordinatorJob Title: Medical Records/Central Supply CoordinatorLocation:Department: NursingReports to: Director of NursingPosition Type: Full-timeJob Summary: We are seeking a highly organized and motivated Medical Records/Central Supply to join our team. The ideal candidate will be responsible for managing both physical and electronic records, ensuring they are up-to-date and easily accessible for authorized personnel. As Central Supply, the ideal candidate will ensure that orders are confirmed and correct, and handle shipping errors or returns of damaged merchandise. The coordinator plays a key role in organizing, filing, retrieving, and releasing records, as well as ensuring compliance with HIPAA and PHI regulations.Work Environment: Office setting within a skilled nursing facility.Medical Records DutiesWorks closely with administration to support the requests from patients and outside entities with obtaining records to support the patients’ care.Retrieve, collect, and prioritize all requests for medical records made through the organization, patients and affiliates.Record and track all records requests, releases, and authorizations within the Electronic Medical Record.Verify legitimacy, accuracy, and authority of all such requests and then process and invoice as appropriate.Abide by, adhere to, and conform to all applicable organizational, local, state, federal regulations.Implement standards and procedures for processing medical records requests with administrative supportMaintain an up to date understanding of applicable policies, processes, laws and regulations.Report breaches, instances of noncompliance, patient complaints, problems or similar instances to supervisor in an effort to protect patient PHI.Assist residents, staff and affiliates with medical records requests and questions. Central Supply DutiesPlanning and directing the procurement of nursing suppliesVendors and supplies, research and evaluate suppliers, analyze price proposals and negotiationResearch new products and medical equipment and then submit bid proposalsWork under the direction of a supervisorEnsure that orders are confirmed and correct, and handle shipping errors or returns of damaged merchandiseQualifications:High School Diploma or equivalent required.Familiarity with medical terminology is essential.Proficiency in using computers and relevant software, including electronic medical records (EMR) systems, preferably in an assisted living or long-term care setting.A high degree of accuracy and attention to detail is required.Understanding of HIPAA (Health Insurance Portability and Accountability Act) and PHI (Protected Health Information) regulations related to patient privacy and confidentiality.Benefits:Health InsuranceDental InsuranceVision Insurance401K Plan
