Position Overview:The Transaction & Closing Coordinator is responsible for managing and streamlining the entire lifecycle of real estate transactions, from listing preparation to closing. This individual acts as a central point of communication, ensuring all processes are handled efficiently and deadlines are met. The role includes elements of marketing, administrative support, compliance management, and client service.Key Responsibilities:Transaction Coordination:·        Ensure all required documents, including purchase agreements, disclosures, and addendums, are accurate and completed.·        Monitor transaction timelines and deadlines, such as inspections, appraisals, loan approvals, and contingency removals.·        Serve as a liaison between buyers, sellers, agents, lenders, and other parties involved in the transaction.·        Troubleshoot issues related to inspections, appraisals, or financing, and propose solutions in collaboration with agents.·        Maintain organized transaction files to ensure compliance with legal and brokerage standards.Closing Coordination:·        Confirm all closing documents are prepared and submitted to the title or escrow company.·        Review the Closing Disclosure or settlement statement for accuracy and address any discrepancies.·        Schedule final walkthroughs and closing appointments for buyers and sellers.·        Coordinate the release of keys and ensure the smooth handoff of the property.·        File and archive closing documentation and transaction records.Client and Team Support:·        Provide consistent updates to clients and stakeholders throughout the transaction process.·        Answer client questions regarding timelines, next steps, and documentation requirements.·        Support agents by managing their schedules, maintaining records, and providing administrative assistance.·        Track listing and transaction performance metrics, and generate reports as needed. Marketing and Compliance:·        Oversee the creation and posting of advertisements on real estate platforms and social media.·        Ensure all marketing materials and transaction documents comply with local, state, and brokerage regulations.·        Keep up-to-date with changes in real estate laws and procedures to maintain compliance.Skills and Qualifications:·        Strong phone presence and genuine ability to build rapport fast.·        Excellent verbal and written communication skills.·        Proficiency in MLS platforms, CRM tools, and office software (e.g., Microsoft Office, Google Workspace).·        Familiarity with real estate contracts, disclosures, and compliance requirements.·        Ability to work independently and problem-solve under tight deadlines.·        Customer service-oriented with a professional demeanor.Preferred Experience:·        1+ years of experience as a real estate coordinator, administrative, or similar role.·        Knowledge of the real estate transaction process, from listing to closing.·        Title experience, including familiarity with title insurance, document preparation, and title search processes.·        Banking experience, particularly in mortgage lending, escrow management, or financial transactions related to real estate.·        Experience with marketing and digital tools for real estate.·        Experience with Social Media managementHow to ApplyWe do not sort through stacks of resumes.
