EligibilityThis role is limited to candidates currently based in the Kansas City area. Must be authorized to work and reside in the United StatesNo C2C or C2H arrangements; No outside recruitersKeyhole Software is seeking an experienced and highly accountable Financial Controller to oversee and manage all financial operations across the organization. This role is responsible for the company’s financial operations, including hands-on execution (payroll, AP/AR, compliance), financial planning, forecasting, and partnership with leadership.This is a hands-on role responsible for both execution and financial oversight. Ideal for someone who enjoys owning the details while also contributing to higher-level financial insight and decision-making.This position is hybrid, with an expectation of working part of the week onsite in our Lenexa, Kansas office. The Financial Controller reports directly to the CEO and works in close partnership with the leadership team.Keyhole operates a complex, utilization-based consulting model. Consultants are distributed across multiple states with varying payroll regulations (including state-specific leave requirements), are compensated at different hourly rates, and client billing occurs across multiple cadences and contract structures. Success in this role requires the ability to manage this variability with precision while ensuring accuracy, compliance, and financial clarity.Key ResponsibilitiesFinancial Operations & ExecutionOwn and manage all day-to-day financial operationsOversee accounts payable and accounts receivable, ensuring accuracy and timelinessOwn the general ledger, month-end close process, and financial reporting accuracy (year-end closing reports, monthly bank reconciliations, etc.)Manage and execute payroll through Paychex, including hourly consultants with varying bill rates and pay rates across multiple statesEnsure accurate revenue recognition aligned to consulting delivery and time tracking, following the IRS cash-flow accounting method for tax basisPay all company obligations, including vendor invoices, expenses, insurance, and liabilitiesAdminister the company’s 401(k) retirement plan, answering employee questions alongside the vendor fiduciary and plan advisorFinancial Planning & AnalysisDevelop and maintain profit projections, forecasts, and financial modelsProvide leadership with clear visibility into margin, utilization, and financial performanceAnalyze trends and identify risks and opportunities to improve profitabilityProvide financial insight and analysis to support leadership decision-making on financial performance, risk, and growth opportunitiesCompliance & Risk ManagementPartner with external CPA/accounting firm to manage state and federal tax complianceOversee business insurance policies, including analysis, payment, and auditing cooperationOversee multi-state tax implications, including nexus considerations related to distributed consultantsMaintain all state registrations and filings, ensuring ongoing complianceEnsure adherence to financial controls, audit readiness, and best practicesGenerate, code, and distribute IRS Form 1095-C to employees, and file them alongside Form 1094-C with the IRSSystems & Process ManagementMaintain and optimize financial systems, including QuickBooks, Paychex, Empower 401(k), and a homegrown internal timesheet systemEnsure alignment between financial systems and consulting operations (time tracking, billing, payroll)Identify and implement process improvements to increase efficiency and accuracyRequirementsActive CPA licensure in good standing3+ years of progressive accounting and financial management experience, preferably in consulting, professional services, or a similar utilization-based business modelBachelor’s degree in Accounting or FinanceProven experience managing complex payroll structures, including hourly employees with variable ratesStrong understanding of multi-state tax compliance and regulatory requirementsExperience working with external accounting partners and auditorsHands-on experience with QuickBooks and PaychexStrong financial modeling and forecasting capabilitiesHigh attention to detail with the ability to operate both strategically and hands-onExperience supporting a consulting or professional services organization with utilization-based revenue is strongly preferredWhat We OfferCompetitive Compensation$80,000 to $127,000 annually, depending on experience, skills, and qualificationsComprehensive Benefits PackageMedical insurance with traditional and HDHP optionsDental and vision insuranceFSA and dependent care optionsLife insurance and disability coverage401(k) with discretionary 3% employer contributionsSupplemental insurance optionsApplySend your resume to careers@keyholesoftware.com with a personalized message.
