Our Induction Cap Sealers and Surface Treating equipment are among the best in the world, and we pride ourselves in being the market leader and innovation driver in our field.We are seeking a highly organized and discreet Administrative Assistant to support both office operations and ownership in a family-owned manufacturing environment. This role blends traditional administrative responsibilities with executive and collaborative support, requiring strong attention to detail, flexibility, and sound judgment. The ideal candidate is a proactive, trusted partner who can manage multiple priorities while maintaining organization, efficiency, and confidentiality across a wide range of responsibilities.ResponsibilitiesExecutive & Personal SupportProvide comprehensive administrative support to ownership, including calendar management, email oversight, and coordination of meetings and travelHandle confidential personal and financial matters, including bill pay, expense tracking, and account reconciliationAssist with documentation, forms, and coordination with financial, legal, and advisory partnersSupport healthcare-related administration, including tracking expenses, managing appointments, and coordinating insurancePersonal Owner Property & Vendor CoordinationCoordinate maintenance, repairs, and vendor relationships across multiple residential and investment propertiesOversee routine services such as landscaping, cleaning, and seasonal upkeepMaintain centralized records of property-related expenses, insurance, taxes, and service schedulesAct as primary point of contact for service providers and ensure timely follow-up and issue resolutionAsset & Logistics ManagementManage registration, insurance, maintenance, and vendor coordination for personal and company-use transportation assets and equipmentTrack renewals, service schedules, and related documentationCoordinate storage, seasonal transitions, and general upkeep of assetsTravel, Events & HospitalityPlan and coordinate domestic and international travel, including transportation, accommodations, and itinerariesSupport reservations, guest coordination, and logistics for personal and business-related travelAssist with planning and execution of company and personal events, including outings, holidays, and special occasionsPersonal & Household CoordinationSupport day-to-day logistics, errands, and procurement of goods and servicesCoordinate gifts, donations, and special occasion planningMaintain contact lists and recurring communications (cards, announcements, etc.)Assist with scheduling and coordination of household-related services and needsPersonal Financial, Payroll & Administrative OversightProcess payments, track recurring obligations, and maintain organized financial recordsSupport payroll administration for personal staff, including setup and routine processingMonitor accounts, subscriptions, and service providers for accuracy and continuityGeneral Administrative & Office SupportProvide backup administrative support to office operations, including phones, supplies, and coordinationAssist with internal communications, employee recognition efforts, and company-sponsored activitiesSupport planning and execution of company events and seasonal initiatives Performs other tasks as required. Responsibilities include, but are not necessarily limited to, the duties listed on this job description.QualificationsAt least three (3) years of experience in an administrative, executive assistant, or business support role and an Associate’s degree, or an equivalent combination of education and experience. Strong organizational skills and the ability to manage multiple priorities with accuracy & attention to detailExcellent written and verbal communication skills Proven ability to build trusted relationships & work effectively with a variety of individuals and external partnersHigh level of professionalism, discretion, and sound judgement
