Administrative / Office Assistant
The Administrative Assistant provides administrative support to ensure efficient office operations while managing accounts payable functions accurately and timely. This role is responsible for handling clerical tasks, vendor communications, invoice processing, and maintaining financial records.Key ResponsibilitiesAdministrative SupportProvide general administrative support to management and staffAnswer and direct phone calls, emails, and correspondenceMaintain office filing systems and recordsAssist with preparation of reports, presentations, and documentsPerform 'accounts payable' responsibilitiesSupport the HR department with miscellaneous responsibilities.Accounts PayableReceive, review, and process vendor invoices for paymentMatch purchase orders, invoices, and receiving documentationEnter invoices into accounting system accurately and timelyPrepare and process check runs / electronic paymentsReconcile vendor statements and resolve discrepanciesMaintain accounts payable records and vendor filesCommunicate with vendors regarding payment status and account issuesAssist with month-end closing and financial reporting supportEnsure compliance with company policies and accounting proceduresQualificationsHigh school diploma or equivalent required; Associate's or Bachelor's degree preferred2+ years of administrative and/or accounts payable experience preferredProficiency in Microsoft Office Suite, especially ExcelStrong organizational and time management skillsExcellent attention to detail and accuracyStrong written and verbal communication skillsAbility to handle confidential information professionallyPreferred SkillsKnowledge of bookkeeping/accounting principlesAbility to prioritize multiple tasks in a fast-paced environmentProblem-solving and analytical skillsCustomer service mindset when interacting with vendors and staffPowered by JazzHR
