Executive Assistant
POSITION SUMMARYThe Executive Assistant serves as the Principal's key staff member, functioning to removing roadblocks, clearing pathways, and managing everything that stands between the principal and high-value work. You will function as a force multiplier: anticipating needs, executing rapidly, and operating with full autonomy on delegated priorities. Your focus shifts dynamically based on where the principal needs leverage at any given time whether that's managing complex projects, coordinating across entities, or handling client interactions.Principal operates a portfolio of four mission-driven enterprises which you will support the principal across this ecosystem, managing competing priorities with precision and discretion.CORE RESPONSIBILITIESStrategic Execution & Project Management● Own and drive completion of cross-functional projects from inception to delivery including vendor negotiations, system implementations, event logistics, research initiatives, or operational buildouts● Identify bottlenecks before they become problems; resolve independently or escalate with proposed solutions● Manage competing deadlines across entities; triage ruthlessly and communicate trade-offs clearlyCalendar & Meeting Orchestration● Own the principal's calendar as a strategic asset—protect deep work time, optimize meeting flow, decline or delegate on the principal's behalf● Prepare pre-meeting briefs with context, objectives, and relevant materials; follow up on action items without prompting● Coordinate complex multi-party scheduling across time zones and competing prioritiesCommunication & Relationship Management● Draft, edit, and send correspondence on behalf of the principal including emails, letters, reports, proposals with the principal's voice and standards● Serve as a primary point of contact for clients, vendors, and partners; handle inquiries with professionalism and discretion● Maintain relationship continuity including track birthdays, follow-ups, and relationship touches; execute without remindersOperations & Systems Management● Manage all aspects of office operations and building including supply ordering, equipment maintenance, coordination with vendors and organization of office spaces.● Serve as the first point of contact at the front desk, greeting visitors and handling phone systems with professionalism and courtesy.● Assist with bookkeeping tasks using QuickBooks or similar software to support financial recordkeeping and invoicing.● Coordinate travel arrangements, and personal assistant responsibilities for Principal as needed.● Manage filing systems, document repositories, and digital infrastructure to ensure nothing gets lost and everything is findable● Coordinate with accounting, legal, IT, and other vendors; manage contracts, invoices, and renewals● Track action items, decisions, and open loops across the portfolio; close them or escalate with contextAd Hoc Problem Solving● Research and synthesize information rapidly with competitive intelligence, vendor options, process benchmarks, regulatory requirements● Handle whatever comes up: last-minute travel changes, urgent document preparation, crisis communications, system failures● Operate as a utility player, step into gaps as needed and figure it outQUALIFICATIONSRequired● 3+ years of executive assistant, chief of staff, or high-touch operational support experience in a fast-paced environment● Exceptional written communication: you can draft clear, compelling content with minimal direction, with or without AI assistance● Proven project management ability: you've managed multi-stakeholder initiatives from start to finish● Advanced proficiency in Microsoft 365 (Outlook, Teams, OneDrive, Planner) and comfort learning new systems quickly● Discretion and sound judgment: you handle confidential information with care and make good decisions under pressure● Self-directed work style: you don't need hand-holding and you figure things out independentlyStrongly Preferred● Experience supporting executives in wealth management, professional services, or high-touch service businesses● Familiarity with CRM systems, financial operations software [including QuickBooks] and generally comfortable with evolving technologies● Background in entrepreneurial, startup, or small business environments where you wore multiple hatsWHAT WE'RE LOOKING FOR● Someone who anticipates needs before being asked and closes loops without follow-up● A problem-solver who gets energized by complexity and doesn't get rattled by ambiguity● A force multiplier who makes everyone around them more effective● Someone with impeccable attention to detail who can shift seamlessly from strategic thinking to tactical execution● A professional who brings calm, competence, and confidence to high-pressure situations● Someone aligned with our cultural identity: Be Diligent.
