The incumbent will be a liaison between the board members and staff and will coordinate and attend all meetings of the Board and Executive Committee. Other responsibilities include but are not limited to:Providing overall administrative support to the Executive Director.Serving as a resource on policies and procedures to staff.Monitoring overall program deadlines with license and registration renewal processes.Assisting the licensing and continuing education staff during high volume of work. Coordinating the communications for the Board including answering the phone and assisting visitors.Serving as a liaison with the MN.IT regarding the development and maintenance of the agency's database and other IT related matters.Providing general support to other staff of the Board as requested.This position is eligible for a hybrid telework arrangement. Knowledge of communications sufficient to communicate effectively with internal and external customers and write, prepare, and edit reports, letters, meeting minutes, and other documents using correct spelling, grammar and sentence construction.Customer service skills sufficient to: 1) perform the duties with politeness, respect, and interest in positive problem solving; 2) provide prompt and accurate information to customers in person, on the phone, and through email and other written or electronic correspondence; and 3) respond effectively to clients, co-workers, and customers who have questions about agency operations and procedures. Spreadsheet skills sufficient to effectively use spreadsheet software applications such as Microsoft Excel to create, enter, compile, store, and retrieve data in a variety of reports and budget documents.Database management skills sufficient to test databases, monitor enhancements, and enter and pull relevant data. Skills in word processing sufficient to effectively use word processing software applications such as Microsoft Word to draft letters, memos, reports, and minutes of meetings that are grammatically correct, in proper format and free of spelling errors. Knowledge of math sufficient to maintain complete and accurate financial records, calculate, review, and reconcile financial data, and balance accounts. Preferred QualificationsPost-secondary degree in administration or related area.Experience in an Office Manager role or related with demonstrated knowledge in the area of accounting, budgeting, payroll, records management, or purchasing.Organizational skills sufficient to organize and prioritize multiple demands under time constrains.Demonstrated experience in a position that requires a high level of attention to detail and accuracy.Demonstrated ability to maintain confidentiality while working with sensitive information.
