Executive Administrative Manager
Superlanet is seeking a highly organized, proactive, and resourceful Executive Administrative Manager to provide strategic administrative and operational support to our CEO and CFO. This individual will serve as a trusted partner, helping manage priorities, streamline communication, coordinate key initiatives, and ensure seamless execution across a fast-paced and growing organization.The ideal candidate is highly professional, detail-oriented, and comfortable supporting both business and personal administrative needs. This role requires exceptional judgment, discretion, and the ability to anticipate needs before they arise. The Executive Business Partner will play a critical role in maximizing the effectiveness and productivity of the executive leadership team.This is a direct hire opportunity requiring an on-site presence in our San Diego office.Key ResponsibilitiesManage and prioritize complex calendars, meetings, travel arrangements, and scheduling for the CEO and CFOAct as a strategic partner to executive leadership, helping manage priorities, deadlines, and follow-up actionsServe as a liaison between executive leadership and internal and external stakeholders, ensuring effective communication and executionPrepare, edit, and distribute executive communications, presentations, reports, meeting materials, and board-related documentationOrganize leadership meetings, develop agendas, document key decisions, and track action items through completionCoordinate executive travel, client meetings, leadership off-sites, conferences, and company eventsSupport strategic initiatives, special projects, business planning activities, and organizational prioritiesAssist with internal communications and cross-functional coordination to ensure alignment across teamsHandle highly confidential business information with professionalism, integrity, and discretionAnticipate executive needs and proactively solve challenges before they impact prioritiesAssist with personal administrative responsibilities for the CEO and CFOCoordinate personal appointments, reservations, travel arrangements, and scheduling needsManage time-sensitive personal tasks and logistics with a high degree of confidentialitySupport special requests, errands, and personal projects while maintaining exceptional professionalism and discretionBalance executive business priorities and personal support responsibilities effectivelyQualifications3+ years of experience supporting C-level executives, founders, or senior leadership teamsProven ability to manage complex schedules, competing priorities, and executive-level communicationsExceptional organizational, project management, and multitasking skillsStrong written and verbal communication abilitiesHigh level of professionalism, discretion, and sound judgment when handling sensitive informationAbility to anticipate needs, take initiative, and operate independently with minimal directionProficiency with Microsoft Office Suite, Google Workspace, and modern business productivity toolsValid driver's license, reliable transportation, and willingness to travel locally to support executive and business needsAbility and willingness to run business and executive-related errands, attend off-site meetings, coordinate logistics, and complete time-sensitive tasks as requiredPreferred QualificationsExperience in healthcare, technology, staffing, consulting, or professional services environmentsFamiliarity with CRM systems, project management platforms, and collaboration toolsAdditional RequirementsAbility to maintain a flexible schedule when business priorities require additional supportWillingness to travel occasionally for executive meetings, company events, conferences, or special projectsComfortable working in a highly visible role that requires frequent interaction with executives, clients, and key stakeholdersAbility to exercise discretion and confidentiality in all aspects of the role
