Its head office is located in Toronto and has regional offices in Dallas, Texas, Amsterdam, Netherlands, and Vienna, Austria.Position OverviewGranite is seeking an Administrative Assistant, Part-Time, reporting to the Senior VP, Head of USA, to join our Dallas office to provide support to the real estate department through various administrative tasks.The successful candidate will partner closely with our Real Estate team and wider corporate teams across our global offices to add value to the organization.Job FunctionsPreparing expense reports via SAP ConcurReading and analyzing incoming memos and submissions, and distributing them as neededOpening, sorting and distributing incoming parcels, mail, emails, and other correspondenceFiling and retrieving corporate records, documents, and reportsPerforming office duties that include ordering supplies and managing multiple databasesUploading invoices and tracking payment statusAssisting with preparation for meetings (in-person and virtual)Utilizing various software packages to perform job responsibilities: MS Office Suite, Banking softwareManaging and arranging Granite Gives (community volunteering) program in the USSupport the US team by writing up processes for existing and new proceduresCoordinate with property management for office related matters and answer office phone, direct calls, and take messages as appropriateProvide general administrative support to all team membersOther duties as assignedKey RelationshipsSenior VP, Head of USASenior Director, Asset ManagementMarketing CoordinatorConstruction ManagerSenior Asset ManagerSenior Financial AnalystKey Success Measures* Feedback from Granite employees and external stakeholders validating timely and accurate support with all projects and responsibilities.Skills/RequirementsSix (6) months to one (1) year of proven experience as an Administrative Assistant or other relevant administrative support experiencePrioritize and organize daily workloadProficient with MS Office SuiteMust be able to meet deadlines in a fast-paced and quickly changing environmentA proactive approach to problem-solving with strong decision-making skillsProfessional level verbal and written communications skillsKey CharacteristicsTrust - ability to work and communicate with others honestly and openlyTeamwork - ability to work with others for optimal shared outcomesAccountability - taking responsibility for one's own actions and the needs of the groupStability - providing a stable and predictable environment for key stakeholdersNimbleness & Creativity - solving issues creatively, independently, and in a timely mannerGranite is committed to fostering an inclusive and accessible environment where all our employees feel respected.
