Job Summary The Operations Specialist provides high-level administrative and marketing support to the President/CEO and senior leadership team. Collaborates with employees at every level of the organization to ensure efficient operations. Duties and Responsibilities Supports the CEO primarily and provides additional support to leadership company-wide as needed Coordinates complex job site scheduling and calendar management, as well as content and flow of information as needed Assists with generating and sending proposals Interacts with customers to a variety of matters related to operations Obtains employee contractor/visitor badges as needed for perform services on site Provides marketing support and assists with social media content and project management Manages professional and personal scheduling for CEO including mail, email, phone calls, client management, and other company logistics Assists with travel and accommodations Participates in meetings, taking notes and/or records minutes Provides administrative and office support including copying, faxing, and/or filing Generates and maintains databases Other projects and duties as assigned Requirements and Qualifications Bachelor’s degree in communications, marketing, or other relevant field of study; and/or 2 years experience working in fast paced industrial, manufacturing or construction environment Excellent written and verbal communication skills Strong time management and prioritization skills Proficiency of Microsoft Office, Social Media platforms and aptitude to learn and implement new software and systems Possesses strong organizational and time management skills Team player with strong interpersonal skills and situational awareness Embraces and adapts to change; supports organizational change Must type minimum of 45 words per minute Must demonstrate professionalism and good judgement High degree of attention to detail and confidentiality Customer-service mindset for internal and external customers Must have a valid driver's license Must wear required PPE on job sites Physical Requirements Prolonged periods sitting at a desk and working on a computer Routine visits to customer locations or job sites as needed to support operations Use of both hands for typing, data entry, and other tools and equipment Requires ability to walk, sit, stand, balance, stoop, bend, push, pull, lift, and reach Must have vision, hearing, and ability to talk Must be able to lift up to 25 pounds at times Benefits: Medical, Dental & Vision coverage available Company-funded Health Reimbursement Arrangement (HRA) 401(k) Retirement Plan, with up to 8% match Life insurance (at no charge) Short-term disability (at no charge) Long-term disability (at no charge) Paid Time Off Paid Holidays Tuition Assistance Referral Bonus North American Millwright Services is an Equal Opportunity Employer
