The right candidate willbe able to step into tasks quickly, maintain accuracy in financial records, and support the overallefficiency of the organization.Position SummaryThe Staff Accountant is responsible for supporting the accuracy, organization, and operational integrityof the company's accounting systems. The role manages core accounting functions with a primaryfocus on accounts receivable, financial record accuracy, and system alignment between accountingand CRM platforms. Working closely with the Accounting Manager, this individual helps ensure thatinvoicing, payment application, reconciliations, and financial records remain accurate and reliable. Theposition requires strong attention to detail, sound judgment, and the ability to manage multiple prioritieswhile maintaining high standards of financial accuracy. As familiarity with company systems andfinancial workflows increases, additional accounting responsibilities and operational oversight may beassigned.Key Role FocusManage the full accounts receivable cycle including invoicing, payment application, and receivablemonitoringMaintain alignment between QuickBooks accounting records and Salesforce CRM dataSupport the integrity and organization of financial records and supporting documentationAssist in maintaining consistent accounting workflows and identifying process improvementsSystems UsedQuickBooks OnlineSalesforce CRMMicrosoft ExcelThe role requires maintaining accurate financial data and ensuring consistency between accountingrecords and Salesforce activity.Core Responsibilities and Time AllocationAccounts Receivable — 50%• Generate and distribute client invoices• Generate and distribute commission invoices• Apply incoming payments (ACH, check, and wire)• Maintain accounts receivable aging reports• Track outstanding receivables and monitor payment activity• Follow up on overdue invoices when necessary• Reconcile payments against issued invoicesSalesforce / Accounting System Alignment — 20%• Maintain accurate accounting stages and financial fields within Salesforce• Associate Salesforce deals and records with corresponding QuickBooks invoices• Perform routine data clean-up and record maintenance within Salesforce• Ensure data consistency between Salesforce and accounting recordsFinancial Record Maintenance — 15%• Maintain transaction integrity within QuickBooks• Ensure accounting records align with CRM data and invoicing activity• Maintain invoice documentation and supporting financial records• Ensure reporting data remains accurate and organizedAccounts Payable — 5%• Maintain vendor records and W-9 documentation• Process vendor invoices and coordinate approvals• Ensure invoices are coded accurately and paid on scheduleBank and Credit Card Reconciliation — 5%• Perform bank and credit card reconciliations• Investigate discrepancies and resolve variances• Maintain accurate supporting documentation for reconciliationsProcess Monitoring and Improvement — 5%• Monitor accounting workflows to ensure consistency and accuracy• Identify inefficiencies or gaps in accounting processes• Recommend improvements that support more efficient operations and reportingQualifications• 3+ years of experience in accounting, bookkeeping, or finance• Proficiency in Microsoft Excel for data organization and reporting• Experience with accounting software such as QuickBooks Online or similar platforms• Experience maintaining accuracy across accounting systems and supporting accountreconciliations• Strong attention to detail and commitment to financial accuracy• Ability to manage multiple priorities in a fast-moving environment• Strong written and verbal communication skillsApplication NoteIf we reach out to schedule a time to connect, please be prepared to provide a brief message describing your experience with accounts receivable, invoice management, and maintaining accuracy between accounting systems and financial records prior to the scheduled meeting.
