This role involves managing facilities, coordinating internal communications, and providing technical and administrative support. The Office Manager will collaborate closely with internal teams and external vendors to maintain smooth operations and a positive workplace experience.Must be legally authorized to work in the United States.ResponsibilitiesDraft and distribute office-wide announcements regarding closures, holidays, and building maintenanceTriage and coordinate resolution for general office and facility issues reported by staffServe as the primary point of contact for building management and arrange necessary repairs or maintenanceConduct daily walk-throughs of common areas to identify and resolve maintenance, cleanliness, or safety issuesManage meeting room booking system and resolve reservation conflictsMaintain and provide technical support for virtual meeting platforms and in-room AV equipmentPlace catering orders and set up catering for meetings as neededGreet and assist visitors, granting access and ensuring a positive experienceProvide basic technical troubleshooting for hardware and connectivity issues, escalating to remote IT as neededMaintain inventory of office equipment, pantry supplies, and office suppliesOrganize weekly staff lunch orders and ensure pantry cleanliness and stock levelsAccept and distribute mail and packages, and manage mailing accounts and shipping logisticsAssist Finance team with payment requests and support document filing for the Director of OperationsRequired Experience/Skills2+ years of office management or hospitality experienceTechnical proficiency, including troubleshooting hardware issues and familiarity with Google Workspace and ZoomProactive mindset with strong attention to detailExceptional communication skills and a calm, client-focused demeanor under pressurePreferred Experience/SkillsDemonstrates adaptability and resilience in a dynamic environmentSelf-motivated, proactive, and able to work independentlyStrong sense of discretion, professionalism, and integrity, particularly in handling confidential informationAbility to prioritize tasks effectively with minimal supervisionAlignment with mission-driven values and comfort working in a small, close-knit office
