The role requires regular interaction with trustees, volunteers, alumni, University leadership, and external stakeholders, and supports governance-related communications, engagement tracking, meetings, and special initiatives. Relative to the Board of Visitors Program, the Coordinator reports to the Director of Strategic Operations for the Board of Visitors. Relative to the Trustee Alumni Leadership Academy, TCIAC, and Board support functions, the Coordinator reports to the Senior Associate Secretary.Supervisory AccountabilitiesN/APrincipal AccountabilitiesBoard of Visitors ProgramSupport the administration and ongoing operations of the University’s Board of Visitors Program, including:Supporting Board of Visitors meetings, engagement activities, and related initiativesSupporting the full membership lifecycle, including onboarding, renewals, and participant trackingAssisting in maintaining aligned and consistent processes across Schools and CollegesMaintaining operational records, templates, trackers, and reporting toolsAssisting with special programs and convenings, including the Biennial CongressSupporting communications and stakeholder engagement activities related to the programTrustee Alumni Leadership AcademyProvide coordination and operational support for the Trustee Alumni Leadership Academy, including:Supporting Academy sessions, meetings, and engagement activitiesAssisting with communications, participant engagement, and scheduling coordinationSupporting speaker and facilitator coordinationManaging program records, applications, and cohort trackingSupporting ongoing program administration and related communicationsTCIACProvide administrative and operational support for TCIAC and related governance initiatives, including:Supporting governance-related meetings and stakeholder engagement activitiesMaintaining records and tracking prospective volunteer and governance candidatesSupporting candidate pipeline management and related mattersBoard and Office of the Secretary SupportAs a member of the Office of the Secretary team, the Coordinator supports Board operations, governance activities, and executive-level initiatives sponsored by the Office of the Secretary.Responsibilities include supporting Board and committee meetings, retreats, and special events; coordinating materials and communications; facilitating cross-functional coordination; and assisting with governance-related projects and special initiatives.Data Management and CommunicationsSupport the administration of Board initiative databases and engagement tracking systems, including maintaining records, supporting reporting processes, and assisting with participant and engagement tracking across Board-affiliated initiatives.Support communications and operational coordination related to Board initiatives, including correspondence, meeting and event coordination, materials preparation, calendar management, and stakeholder follow-up.Core CompetenciesGovernance and stakeholder supportProgram and project managementRelationship managementWritten and verbal communicationOrganization and prioritizationConfidentiality and discretionEvent and meeting coordinationProblem-solving and adaptabilityCross-functional collaborationMinimum QualificationsBachelor’s degree requiredMinimum of 5–7 years of professional experience in program coordination, program management, operations, stakeholder engagement, governance administration, or related fieldsExperience supporting boards, executive leadership, or governance bodies strongly preferredStrong organizational, communication, program management, and project coordination skillsDemonstrated professionalism, discretion, and sound judgmentAbility to manage multiple priorities and work effectively under deadlinesProficiency with Microsoft Office Suite, Adobe Acrobat, database systems, and related administrative technologiesCompliance Salary Range DisclosureExpected Salary Range: $80,000 - $85,000
