Inventory & Reporting Specialist - Freelance, RemoteAn operator-led consumer brand platform founded by serial entrepreneurs with multiple exits and leadership experience spanning startups to unicorns. They acquire and scale beautiful brands and support visionary founders through resilient, hands-on execution.This role exists to ensure all products, data, and production activities run accurately and on schedule across the client's e-commerce stack. As the business scales new launches and subscriptions, they need a detail-oriented operator to forecast demand, manage vendors and co-packers, and keep inventory, costs, and production tightly controlled. The specialist will own data integrity across Cin7, Shipfusion, Recharge, and Shopify while delivering timely reporting and insights to guide leadership decisions.The Impact You'll MakeInventory Planning & ProcurementMaintain accurate stock levels across Cin7, Shipfusion, and ShopifyForecast inventory needs based on sales trends, subscription data, and new launchesIssue purchase orders, track delivery schedules, and monitor supplier lead times/reorder pointsReconcile physical vs. system inventory monthly; adjust discrepanciesKeep all product costs and COGS data current in Cin7Production OversightMaintain a live production tracker for manufacturing runs, shipments, and deadlinesFollow up with manufacturers and co-packers to ensure timelines are metTrack production milestones, document updates, and communicate risks or delaysCoordinate inbound inspections and vendor–3PL (Shipfusion) communicationQuality Control (QC) & Vendor ManagementDevelop and maintain QC guidelines for products and packaging, including standards, tolerances, and inspection proceduresOversee QC documentation for all incoming shipments and track defect trendsAudit vendor quality performance, resolve QC issues directly with vendors, and ensure accountabilityData Accuracy & Systems ManagementOwn Cin7 data accuracy across SKUs, bundles, and BOMs; maintain consistency across Cin7, Shipfusion, Recharge, and ShopifyCreate and maintain SOPs for system workflows and inventory/production processesTroubleshoot sync issues across systems and proactively flag/resolve data discrepanciesReporting & AnalyticsOwn daily, weekly, and monthly operational reporting; deliver weekly leadership reports every Monday by 10:00 AM CSTMaintain real-time dashboards for inventory, sales, production, and returnsIdentify risks, trends, and opportunities for improvement; support ad-hoc analysisSkills, Knowledge and ExpertiseRequired:2+ years in inventory, operations, or supply chain management for an e-commerce brandAdvanced Google Sheets/Excel; hands-on experience with Cin7 or similar ERP, plus Shopify/3PL integrationsProven vendor management and production timeline ownership with manufacturers/co-packersExcellent written and verbal communication in EnglishHighly organized, detail-oriented, proactive; comfortable working remotely with minimal supervision and on PST hoursWFH Set-Up:Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.Internet speed of at least 40MBPSHeadset with an extended mic that has noise cancellation and a webcamBack-up computer and internet connectionQuiet, dedicated workspace at homeYour Superpowers:Technical: Demand forecasting; PO management; Cin7/ERP mastery; Shopify, Shipfusion, Recharge; BOMs/SKUs/bundles; COGS and cost updates; inventory reconciliation; dashboarding/report automation (Sheets/Excel)Operational: Production tracking; vendor/co-packer/3PL coordination; QC standards and inspections; data integrity and systems troubleshooting; SOP creationPersonal: Ownership mindset; high attention to detail; crisp communication; bias to action; problem-solving; ability to anticipate risks and escalate early; time managementYou should apply if...You love owning the numbers—inventory accuracy, timelines, and costs—and you don't rest until they reconcileYou thrive in fast-paced, entrepreneurial environments and can operate independently with high standardsYou're proactive, solutions-oriented, and comfortable coordinating across vendors, manufacturers, and a 3PLYou're equally at home in spreadsheets and systems as you are communicating updates, risks, and recommendationsWhat to expect...Work Setup:Remote positionMust have a reliable internet connection and a quiet workspaceRequired to provide own computer with Intel Core i5 or something similar or higher operating systemWorking Hours:40 hours per weekMonday - Friday 8AM - 5PM Pacific TimeCompensation:$7 per hourNo benefits package includedBenefitsAbout Magic, IncMagic has connected top remote talent with fast-growing businesses for over 10 years.
