Full Time Construction Accounting & Project Administration Specialist
Job Summary
Duquaine Development is seeking a detail-oriented Full Time Construction Accounting & Project Administration Specialist to support our growing construction operations. This role is responsible for managing key accounting, compliance, and administrative functions related to construction projects.
Duties
Track, collect, and audit Certificates of Insurance (COIs) and W-9 forms for subcontractors and vendors
Process construction draws in compliance with project requirements and timelines
Compile, compress, and process timesheets; invoice billable labor to the correct projects
Process payments to subcontractors accurately and on time
Perform bookkeeping and financial record-keeping using QuickBooks Desktop
Assist with payroll processing and employee onboarding as needed
Track and reconcile company credit card transactions, allocating expenses to the correct projects
Invoice materials and supplies purchased via credit cards to appropriate jobs
Maintain organized project and financial records to support audits and reporting
Ensure accuracy, consistency, and attention to detail across all financial processes
Skills
Experience with QuickBooks Desktop
Experience with construction accounting and construction draws
Familiarity with subcontractor compliance and construction workflows
Payroll and onboarding experience
Strong bookkeeping and record-keeping skills
High attention to detail and accuracy
Ability to manage multiple priorities and deadlines
Part-time position (hours to be determined)
Potential to transition to full-time based on performance and business needs
