This position is ideal for an individual who is an organized and motivated self-starter and takes pride in keeping a team well organized, running smoothly, and can “think ahead”. Assistant Project Managers play a critical role in ensuring that technical, financial, and contractual requirements are met across multiple disciplines and stakeholders in our large consulting environment.Your Key ResponsibilitiesIn this position, you will be responsible for diverse functions that include, but are not limited to, the following:Project Coordination and SchedulingCoordinate with our project team members across several offices to facilitate and document meetings, and support the internal execution of fast-paced, multi-discipline engineering projectsAssist in developing and maintaining detailed project execution plans and project schedulesCoordinate tasks across multiple technical disciplines, and subconsultants, to ensure alignment and timely deliveryTrack project progress, identify risks and potential delays, and support mitigation planningCreate and update Project Setup Forms, Project Execution PlansHelp set up and maintain project filesContribute to process improvement efforts related to project organization and efficiencyBudgeting and Cost ControlSupport project budgeting, cost tracking, and financial forecastingPrepare financial status reports and assist with invoicing and expense monitoringReview and process subconsultant invoices, checking for accuracy and compliance with contracts and work performedDocumentation and ReportingMaintain organized project documentation, including meeting minutes, submittals, RFIs, and correspondencePrepare project status updates, progress reports, and client presentation materialsAssist in compiling technical deliverables and proposalsClient and Stakeholder CommunicationSupport Project Managers in managing client communicationsHelp plan and participate in client and internal meetings, preparing agendas and documenting action itemsServe as a routine point of contact with subconsultants and vendorsTechnical Delivery SupportCoordinate preparation and submittal of technical deliverables across multiple disciplinesAssist in review of deliverables, checking for completeness, consistency, and adherence to format and standardsHelp coordinate and document quality control reviews and compliance with project requirementsContract and Procurement AssistanceCoordinate and assist with preparation of contracts, subconsultant agreements, and change ordersTrack contract deliverables and ensure compliance with contractAssist with procurement of materials, equipment, and servicesRisk, Safety and ComplianceAssist project managers with quality management and project auditsAssist with project risk assessments and mitigation planningSupport adherence to health, safety, security and environmental policies and proceduresHelp track compliance and training documentation for health and safety programsBusiness Development SupportWork with project management, marketing, and other administrative staff to develop successful proposalsConduct research and document coordination to support proposal teamsYour Capabilities and CredentialsQualificationsWe are seeking a self-motivated individual who can learn quickly and adapt to new software tools and project management processes. Please note, the final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible.
