This role is key to keeping the office running smoothly and ensuring a positive experience for both clients and team members.Responsibilities include managing incoming calls, assisting with client communication, supporting internal staff and leadership, maintaining accurate records, and handling a variety of administrative and clerical tasks. This position requires strong organization, professionalism, and the ability to manage multiple priorities throughout the day.Key ResponsibilitiesAnswer and direct incoming phone calls in a professional and friendly mannerAssist with client communication, follow-ups, and general inquiriesSupport agents and leadership with day-to-day administrative tasksMaintain and update client records, ensuring accuracy and completeness in internal systemsAssist with scheduling appointments, managing calendars, and coordinating meetingsPrepare, organize, and process documents, forms, and client materialsMonitor and manage office email communications, routing messages as neededHelp track and follow up on outstanding client items such as documents or applicationsAssist with onboarding tasks and internal team support when neededMaintain office organization, including supplies, filing systems, and overall workspace upkeepProvide a welcoming and professional experience for clients, both in person and over the phoneSupport team projects and assist in improving administrative processes and efficienciesHandle sensitive information with a high level of confidentiality and professionalismQualificationsStrong administrative and organizational skillsExcellent phone etiquette and communication abilitiesHigh attention to detail and ability to multitaskAbility to prioritize and manage time effectivelyProficiency in Google Workspace (Docs, Sheets, Gmail, Calendar)Previous administrative or office experience preferredHigh school diploma or equivalent requiredWhat We OfferCompetitive salary, 401k after a year, paid vacation, health insurance reimbursement compensationOpportunities for growth within the companySupportive and team-oriented work environmentExposure to the health insurance industry and potential career advancement
