Medical Practice Administrator

Role Description
We are a well-established but growing practice in South Tampa seeking a highly organized and detail-oriented Medical Practice Administrator to oversee daily office operations, financial administration, and guest services.
This role is ideal for someone who enjoys operating at the intersection of healthcare operations, finance, and patient experience. You will be responsible for ensuring the clinic runs smoothly while maintaining accurate financial records and supporting clinical staff.
You will play a key role in helping the practice deliver an exceptional patient experience while maintaining strong financial discipline, operational efficiency, and a promotional experience that leads to growth. We have positioned the practice for significant growth in the next few years and need an administrator who can help lead that growth with the support of the practice ownership.
Key Responsibilities:
Operations & Facility Management
Manage daily clinic operations, workflows, and office appearanceOversee facility maintenance and coordinate with vendorsAct as a liaison with marketing and SEO partners to support clinic growthEnsure office processes promote efficiency, compliance, and an exceptional patient experience
Financial Management
Supervise QuickBooks for daily entries and operational financial tasksManage payments, budgeting, and bank accountsCollaborate with external accountants/bookkeepers for accurate reportingProvide financial analysis and reports to support leadership decision-making
Human Resources & Team Leadership
Lead, mentor, and develop staff, fostering a positive and challenging work environmentOversee HR functions, including hiring, onboarding, training, evaluations, and maintaining employee manualsConduct regular staff meetings and performance assessmentsMaintain a positive and motivating office culture
Patient & Client Experience
Maintain high standards of patient communication and interactionHandle conflict resolution professionally and effectivelyEnsure a consistent, excellent patient experience across all touchpoints
Growth & Marketing
Support clinic growth strategies with leadership and marketing partnersManage patient acquisition initiatives and promotionsAnalyze and evaluate the effectiveness of marketing and growth strategies
Qualifications & Experience:
5–7 years of management experience in operations and business development3+ years in a similar clinic environment (wellness, regenerative medicine, with experience with compounding pharmacies, EMR systems, and product sales)High-level QuickBooks experience (day-to-day operations; formal bookkeeping not required)Strong multitasking, leadership, and client service skillsPersonal investment in wellness and longevity is highly valuedAbility to work 45+ hours per week as required
Compensation & Benefits:
Salary: $65,000–$85,000 annually, commensurate with experienceBenefits: HSA, PTO, 401K, Paid holidays, employee discounts on products and servicesPerformance-based bonus opportunities
