The Workplace Assistant will be the first point of contact in the San Francisco office for employees, visitors, customers, and vendors. This role will also monitor entry into our space, provide assistance to those who arrive, and create a welcoming environment into the workplace. The Workplace Assistant will also contribute to the smooth and efficient operation of the office by ensuring common areas and meeting spaces are kept neat and clean, completing workplace requests from employees, and finishing assigned tasks to support our operational workflows.What You’ll DoBe present in the office, Monday through Friday from 8:30am - 5:00pm PTGreet employees, visitors, customers, and vendors, making them feel welcome and comfortableManage the intercom system and the visitor registration systemAssist with workplace safety, security, and office accessSupport employees and be point of contact for the officeManage lunch servicesMaintain and manage conference rooms, phone rooms, kitchen, and copy areasRestock and track office supplies, snacks, and beveragesStay on top of upcoming onsite meetings, including understanding the attendee list, their specific needs, and preparing the space for the meetingKeep the office tidy, clean, stocked, and organizedProcess and distribute incoming mail and packagesAssist with answering workplace tickets in a kind and timely mannerWork with IT on equipment requestsWork with property management for visitor access and building maintenance requestsManage onsite vendorsCreate a positive workplace experience and environment for employees, visitors, customers and vendorsPartner with the Workplace team to produce thoughtful and inclusive office experiences and eventsSupport and provide back-up for the Workplace teamAssist with ad-hoc projects when time allowsYouGenuine passion for supporting others and possesses a positive attitudeCapable of anticipating others' needs and act with patience, kindness, and firmnessExcellent written, non-verbal, and verbal communication skillsAbility to work well with various personality types and are receptive to feedback, while also maintaining a high degree of professionalism and confidentialityAbility to learn software quicklyExcellent organization, planning, and prioritization skillsExceptionally strong ownership and can-do attitude with an operational mindsetComfortable working autonomously, juggling multiple tasks under tight deadlines, switching gears at the drop of a hat, and having a “no task too small” mentalityWillingness to jump in where needed, picking up projects and checking things off lists even when it lands on your plate unexpectedlyAn eye for detail with regards to all things from process to projects to space to eventsAbility to maintain a professional and kind game face even when things aren’t going as planned or desireA propensity for problem solving quickly and quietlyNice to HaveExperience working in facilities, workplace operations, office administration, or hospitalityProficiency with G-Suite ProductsMental/Physical QualificationsMust be able to lift 25 poundsSalary Range InformationThis is an hourly role, eligible for overtime. The hourly rate for this position has been set based on market data and other factors.
