Executive Assistant
Overview
We are seeking a dynamic and highly organized Executive Assistant to join our Creating Creators Education and media arts company and support our leadership with efficiency and professionalism. This vital role involves managing complex schedules, coordinating communications, and ensuring smooth daily operations within a fast-paced environment. As an Executive Assistant, you will be the right hand to senior management, facilitating seamless workflows and enhancing overall productivity.
Duties
Manage and prioritize executive calendars, scheduling meetings, appointments, and travel arrangements with precision and attention to detail
Handle incoming correspondence via email, phone, and mail, ensuring timely responses and follow-up actions
Prepare, proofread, and edit reports, presentations, and other documents to maintain high-quality standards
Coordinate logistics for meetings, conferences, and special events, including venue arrangements and catering if needed
Maintain organized filing systems both digitally and physically for easy access to important documents
Support office management tasks such as supply procurement, equipment maintenance, and vendor communications
Provide exceptional customer service by greeting visitors professionally at the front desk and managing multi-line phone systems with courteous etiquette
Assist with data entry, record keeping, and basic bookkeeping using QuickBooks or similar accounting software
Manage personal assistant responsibilities including calendar management for executives and handling confidential information discreetly
Experience
Proven experience as an Executive Assistant or in a similar administrative role within an office environment
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools
Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
Demonstrated experience managing multi-line phone systems and front desk operations with professional phone etiquette
Bilingual abilities are highly desirable to support diverse communication needs
Previous experience in office management or clerical roles that involved customer service and administrative support
Knowledge of office procedures such as filing systems, proofreading documents, and calendar management
Familiarity with medical or dental receptionist duties is a plus but not required
Strong time management skills with the ability to prioritize tasks efficiently while maintaining attention to detail
