BELLINGHAM PUBLIC SCHOOLSBELLINGHAM, MASSACHUSETTSTITLE: Long Term Sub - Secretary - Keough Memorial SchoolLOCATION: Keough Memorial SchoolSCHEDULE: 8:00am - 2:45pmPOSITION SUMMARY:The Secretary for Main Office of Keough Memorial School is directly responsible to thePrincipal and under their direction is expected to perform a wide variety ofclerical and general office work as required on a day-to-day basis, including but not limited todrafting correspondence, scheduling appointments, organizing, handling attendance, and maintaining paper and electronic files or providing information to callers.ESSENTIAL DUTIES AND RESPONSIBILITIES:Knowledge of administrative and clerical procedures and systems such as managing files and records, typing letters, spreadsheets, memorandums and other reports and other office procedures and terminology.Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.Responsible for recording accurate attendance for students and staff.Maintains a regular filing system and processes incoming correspondence as required.Serves as a receptionist dealing effectively and courteously with people.Orders and maintains supplies as needed.Maintains confidentiality of work performed.Coordinates the scheduling of appointments and makes arrangements for conferences.Establishes a good rapport and cooperates with all personnel.Organizes and maintains office records for ready accessibility.Updates and maintains all student information systems (i.e. registration, attendance, school choice, homeless data)Maintains and preserves all public records and supporting files of the school department, which will include student cumulative folders and a student database.Knowledge in working on all Microsoft Office products as well as Google Suites.Learn to operate new office technologies as they are developed and implemented.Proofread documents, records, or other files to ensure accuracy.Assumes other related assignments or work that may be assigned by the Principal.Adheres to the adopted policies of the Bellingham School Committee.SKILLS/ABILITY:Emotional maturity, competence, and personal integrity.Requires meeting strict deadlines.Requires repeating the same physical activities or mental activities over and over.Must be able to remain in a stationary position for the majority of the day.Energetic enthusiastic and willing to cooperate with other staff members in assisting with all phases of main office work.Exercises good judgment, using accuracy and thoroughness, to determine validity of work done.CERTIFICATES, LICENSES and/or DEGREE REQUIREMENTS:Required: High School Graduate. Associate degree preferred.Thorough knowledge of office practices and procedures.Must demonstrate neatness in appearance and work.High degree of patience and tact in dealing with students, parents, teachers, administrators and the general public are necessary.High degree of proficiency in Google Suite and Microsoft Office, including Word, Excel and in-house accounting software.Such alternatives to the above qualifications as the Superintendent may find appropriate and acceptable.SALARY: $15.00/per hourPHYSICAL WORKING CONDITIONS:Requires sitting and repetitive movement.REPORTS TO: PrincipalOUR MISSION:The Bellingham Public School District's enrollment is approximately 1,930 students and an organizational staff of 400 employees.
