Job DetailsJob LocationClearwing Productions Inc - Milwaukee, WIPosition TypeFull TimeEducation LevelNot SpecifiedTravel PercentageNoneJob ShiftDayJob CategoryAdmin - ClericalDescriptionThe Travel Administrator is responsible for making travel arrangements to various events, including, but not limited to concerts, corporate and trade shows, television, theater, sporting events etc. The includes organizing, booking, tracking, and handling travel requests for all Clearwing needs. In addition, the Travel Administrator will strategically negotiate with partners to ensure that travel needs are met within the constraints of the show budgets and company policies. Essential Duties and Responsibilities :Optimize traveler experience by aligning the company travel policy to what the traveler wants while still aiming to minimize costs where possible.Assisting with the creation of travel policies and procedures.Negotiating preferred rates with airlines and hotels when possible, including group block rates on larger projects.Booking trips on behalf of employees, primarily in Egencia.Balance the travelers wants with Clearwings needs, priorities, and cost when booking travel.Creating reports and conducting analysis on travel spending actuals vs. budget and identifying areas where travel and expense spend can be reduced.Handling the expense process for all travel costs, including approving any reimbursements to staff as needed.Other duties as assigned.Qualifications Competencies : Possesses familiarity with business travel management processes and practices. Has knowledge of standard finance expensing processes. Can develop standards, manage processes, analyze, and report information. Critical thinking: ability to organize, prioritize, and multitask. Works well with timelines and deadlines. Self-motivated and passionate with the ability to work in a fast-paced environment. Professional interaction: tactful, positive, effective communicator (verbal and written). Skills and Qualifications : Two (2) years working experience in the entertainment industry, or equivalent combination of education and experience. Extremely proficient in Windows operating systems, Microsoft Office Suite. Experience using Egencia, our travel management solution, preferred. Availability to work "on-call" as needed for travel changes and emergencies. Valid drivers’ license and clean MVR required. CPR/ AED Certification, preferred. High school diploma or equivalent required, some college preferred. Physical Working Conditions: Sit or stand for prolonged periods of time. Work "on-call" as needed including some nights, weekends, and holidays. Able to Travel occasionally.
