Office and Operations Coordinator
Open to Debate Foundation is a non-partisan, non-profit organization which addresses a fundamental problem in America: the extreme polarization of our nation and our politics. Our mission is to restore critical thinking, facts, reason, and civility to American public discourse. Open to Debate produces a weekly live debate program carried by more than 300+ NPR stations, and publishes an award-winning podcast, live digital broadcasts, and events.
Open to Debate is seeking a detail-oriented and proactive Office and Operations Coordinator to manage day-to-day office operations and assist with a range of administrative and events-related tasks. Reporting to the Chief of Staff, this person will play an essential role in ensuring a smooth, organized, and efficient work environment, while also supporting internal operations and team culture initiatives.
Key Responsibilities:
Office Management & Reception:
Oversee daily office operations, ensuring a welcoming and efficient environment.
Manage reception, greet guests, and act as the first point of contact for visitors.
Maintain office supplies, equipment, and general organization of shared spaces.
Handle incoming and outgoing mail and deliveries.
Administrative Support:
Assist with a variety of administrative tasks
Manage staff travel arrangements, including booking flights, hotels, and transportation.
Coordinate and schedule internal and external meetings, ensuring all logistics are handled.
Work closely with our IT vendor, Point to Point, to coordinate and resolve technical issues quickly.
Track and monitor ongoing IT support needs to maintain a smooth and functional work environment.
Provide support for hiring processes, including setting up interviews and coordinating with candidates.
Team Culture & Staff Engagement:
Organize and track staff birthdays, milestones, and anniversaries, ensuring celebrations are recognized.
Plan and coordinate team-building events and culture initiatives to foster a positive work environment.
Assist in onboarding new hires by managing key details like office setup and team introductions.
Event Coordination:
Support with the planning and execution of internal and external events, including logistical arrangements, catering, and vendor coordination.
Provide on-site or virtual support during events to ensure smooth execution.
Qualifications:
Proven experience in office management, administrative support, or event coordination roles.
Excellent communication and interpersonal skills, with a customer-service-oriented mindset.
Strong organizational skills with the ability to multitask, prioritize, and meet deadlines.
Experience in booking travel, managing schedules, and handling meeting logistics.
