The Fleet Coordinator is responsible for the day-to-day coordination, tracking, and administrative management of Trinity Solar’s vehicle fleet. This role supports field operations by ensuring vehicles are properly assigned, maintained, compliant, and available to meet business needs. The ideal candidate is detail-oriented, highly organized, and experienced in fleet operations, logistics, or asset management.Hours 6:00am-2:30pm M-F in officeKey ResponsibilitiesFleet Operations & CoordinationCoordinate vehicle assignments, transfers, and returns for field employees and teamsMaintain accurate fleet records, including vehicle assignments, mileage, inspections, registrations, and insurance documentationMonitor vehicle utilization and support optimization of fleet resourcesMaintenance & ComplianceSchedule and track routine maintenance, inspections, and repairsCoordinate with vendors, service providers, and internal stakeholders to ensure timely serviceEnsure fleet compliance with DOT, state, and company safety requirementsTrack recalls, warranty work, and compliance deadlinesReporting & AdministrationMaintain fleet data in internal systems and spreadsheetsGenerate reports related to fleet usage, costs, incidents, and maintenance trendsAssist with budgeting, cost tracking, and expense reconciliation related to fleet operationsSafety & Incident ManagementSupport accident reporting and incident documentationCoordinate vehicle repairs and insurance claims as neededPromote safe driving practices and adherence to company policiesCross-Functional SupportPartner with Operations, HR, and Safety teams on onboarding/offboarding related to vehicle assignmentsSupport fleet-related projects, audits, and process improvementsPerform other duties as assigned to support operational efficiencyQualifications & Experience1+ years of experience in fleet coordination, logistics, operations, or asset managementStrong organizational skills with high attention to detailProficiency in Microsoft Excel and fleet management systemsAbility to manage multiple priorities in a fast-paced environmentStrong communication skills and customer-service mindsetValid driver’s license requiredAbility to travel to branch locations or vehicle yards as neededOccasional lifting of up to 25 lbsCombination of office and field-based workPreferred QualificationsExperience supporting field-based or construction/solar operationsFamiliarity with DOT compliance and vehicle safety programsExperience working with vendors and service providers
