Job Description Job Title: Executive & Board Administrator Position Type: Full-Time, On-SiteLocation: Anaheim Hills, CA 92606About The Role We are seeking a highly organized, professional, and discreet Executive & Board Administrator to provide high-level project and operational support to our senior leadership team, board members, and key stakeholders. This role ensures seamless day-to-day operations, enabling our executive leadership to focus on driving strategic priorities.The ideal candidate thrives in a fast-paced environment, possesses exceptional communication skills, can balance multiple competing deadlines, and confidently serves as a professional liaison for internal and external stakeholders.Key Responsibilities Calendar & Meeting Management: Manage complex, fluid calendars for executive leadership and Board meetings. Coordinate logistics for virtual and in-person meetings, including room booking, video links, and catering.Board & Executive Support: Prepare, organize, and distribute high-quality agendas, reports, presentations, meeting minutes, and briefing materials for Board and leadership meetings.Travel & Expense Coordination: Plan and coordinate comprehensive domestic and international travel itineraries. Accurately prepare and submit monthly executive expense reports.Liaison & Communication: Act as a central point of contact and liaison between executives, board members, and external stakeholders while maintaining the highest level of confidentiality and professionalism.Project Tracking: Actively track action items, follow up on key initiatives, and ensure institutional commitments are met with a strong sense of urgency.Core Values Alignment: Demonstrate and model the Company's Core Values in all professional interactions. Perform other job-related duties as assigned to support organizational needs.Qualifications & Skills Education: High school diploma or equivalent required (Bachelor's degree preferred).Experience: 3+ years of experience in a board-level, senior executive administrator, or comparable high-level support role.Technical Proficiency: Advanced skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with project tracking tools like Smartsheet.Confidentiality: Proven track record of handling highly sensitive and confidential corporate data with absolute discretion.Organization & Execution: Exceptional time management, analytical, and problem-solving skills with a flawless attention to detail.Communication: Superior verbal, written, and interpersonal communication skills.Adaptability: Self-motivated and comfortable working independently or collaboratively within a fast-paced environment.PandoLogic.
