Brief DescriptionGENERAL SUMMARY:Reporting to the AVP, Skilled Nursing Administration, the Administrative Assistant performs all duties, which support the work of the Nursing Home Administrator.Assigned duties are implemented in a manner appropriate to the age-specific needs of the patients served.EDUCATION:High school diploma or equivalent with courses related to secretarial business skills or equivalent required.WORK EXPERIENCE:Minimum Of Five (3) Years Secretarial Experience Required.Performs all secretarial duties and related clerical activities as required by the NHA, for continued operation of the SNC. Prepares, composes and maintains control over incoming and outgoing correspondence. Screens visitors and telephone calls. Directs unrelated matters to appropriate personnel.Arranges meetings and conferences, schedules interviews and appointments, and maintains business calendar for AVP/Administrator. Makes arrangements for seminars, hotel reservations and travel arrangements.Assists with maintaining Kronos Dimensions, including nursing and therapy departments/ cost centers / transfers / recording of PTO as requested. Assists with timecard approvals when designated by NHA. Creates payroll reports as needed for analysis by NHA.Maintains personnel files, certifications, licenses, performance appraisals, CPR, physician credentialing, etc. Tracks and verifies personnel licenses and certifications. Provides copies to HR.Maintains up-to-date policy and procedure manuals for the administrative office under oversight of Nursing Home Administrator.Attends internal meetings as requested by NHA. Prepares agenda, takes minutes, transcribes, and distributes as necessary.Inventories, monitors, and orders medical and office supplies for administration offices. Submits purchase requisitions, check requests, and petty cash receipts as needed.Types new, and makes appropriate revisions to policies and forms, as directed by NHA. Maintains policy and procedure manuals for SNF.Maintains all administrative files for internal and external correspondence, including all regulatory updatesCreates and files HR Confidential Employee forms. Creates and sends requests to IT for user logins to IT systemsResponsible for maintaining records for Department of Health surveys and all other documentation as directed by Nursing Home Administrator.
