Department Assistant- John R Marsh
The Department Assistant provides administrative, secretarial, and general office support to department leadership to ensure efficient daily operations. This role supports departmental projects, maintains records, prepares reports, and serves as a key point of contact for internal and external customers.
Key Responsibilities
Provide administrative and secretarial support to department leadership
Assist with cyclical deadlines, special projects, and departmental initiatives
Prepare correspondence, reports, and documentation using word processing and data entry systems
Maintain electronic and paper files; abstract and compile data from multiple sources
Schedule meetings, create agendas, take minutes, and coordinate department events
Compile and distribute daily, monthly, quarterly, and annual reports as needed
Manage office supplies by anticipating needs and placing orders
Serve as backup receptionist; answer inquiries, forward messages, and assist customers
Collaborate with other departments, physicians, and outside healthcare agencies
Participate as an active and professional member of the department and organization
Minimum Qualifications
Education
High School Diploma required (commercial/business coursework preferred)
Secretarial school training preferred
Experience
Previous general office experience preferred
Experience with Microsoft Windows, Word, Excel, and Access (or equivalent) required
Knowledge, Skills & Abilities
Strong typing, filing, and proofreading skills
Excellent organizational and time-management abilities
Ability to prioritize tasks and meet deadlines
Willingness and ability to learn healthcare and internal computer systems
Effective written and verbal communication skills
