Document Controller
Role summary / purposeDocument Controller - 6 month contract with possibility of extension in a hybrid Portland Metropolitan Area role.Key responsibilitiesDocument Control: Manage company documents and ensure accuracy, quality and integrity. Support adherence to record retention policies and safeguard information in compliance with applicable regulations. Provide technical support and guidance to ensure compliance with records information management best practices.Project Support: Provide technical support to records management professionals for complex projects and studies. Participate in meetings with department managers and site representatives to review operational changes and record needs. Document and report on process improvements and project progress.Document Management System: Ensure the electronic drawing management system is accurate and drawings are viewable with correct life-cycle states. Maintain the as-built database with effective scanning, tracking and processing. Investigate and resolve data or file corruption issues. Update operating one-line index and prepare operating one-lines for issue. Provide training on the document management system.Drawings Distribution: Ensure accuracy of drawing distribution matrix. Provide accurate and timely drawing distribution for construction projects and as-built updates. Distribute vendor review drawings to appropriate designers and engineers.As-Built Drawings: Document as-builts received from designers, engineers and field crews. Process and distribute as-built packages and confirm completeness. Create and distribute transmittals. Identify drawing data discrepancies and ensure corrections are made.Construction Packages: Process detailed construction packages. Ensure drawing data contents are complete and drawing status is updated. Issue and distribute packages to meet critical construction or outage schedules.Document Scanning: Accurately process, scan, categorize and archive files. Operate scanning equipment to produce quality output within required timeframes. Inspect jobs for scan quality. Index and file electronic documents into the records system.Training Support: Participate in developing and providing training to staff members to ensure compliance with operating policies and procedures. Assess training needs and train employees on corporate records management systems.Requirements - education & experience5+ years of document control, records management experience in utilitiesHigh school diploma or equivalentRequired skillsBasic knowledge of engineering drawing types (isometrics, one-lines and electrical schematics) related to substationsSoftware applications experience with database and reports systems (eRecords, Autodesk Vault, etc.)Knowledge of drawing life cycle and published statusAbility to interpret electrical, mechanical and civil drawings to identify drawing data discrepanciesEmployment details - type, location, hoursContract length: 6 months to start with possibility of extensionLocation: Hybrid Portland Metropolitan AreaImpellam Group and its brands are equal-opportunity employers committed to diversity and inclusion.
