Program & Services Staff Assistant
The Part-Time Staff Assistant will be a member of a team that supports student achievement and success from recruitment through graduation and beyond, advancing equitable economic mobility, personal empowerment, and transformed communities. The Staff Assistant will assume responsibility for supporting administrative duties for the center/campus and providing support services for the Associate Dean for Program and Services at MWC, GSC, and WC. This individual will also keep accurate records pertaining to their role and adhere to all institutional policies and procedures to ensure effective and efficient daily office/center operations. All front desk/main office duties, phones, responding and/or directing accordingly, and other assigned duties. This is an entry level position.
Ability to work a flexible schedule from 7:30 am- 12:30 pm and some days from 1:00 pm-5:00 pm.
Minimum Qualifications
Required
High School Diploma or higher. Degrees and hours must be from a college accredited by a United States Department of Education accepted accrediting agency such as SACSCOC.
One year or more of related experience and/or training.
Demonstrated ability to use personal computer, printer, copier, phone system, fax,
and other standard office equipment.
CERTIFICATES, LICENCES, REGISTRATIONS
Notary Public (or willingness to obtain).
Preferred Qualifications
Preferred
Associates degree.
Three years or more of related experience in customer service or an educational institution.
Experience in the North Carolina Community College System
One year or more of clerical experience.
Essential Duties
Essential duties and responsibilities include the following, as well as other related duties that may be assigned.
Administrative
Perform receptionist duties and assist in the daily supportive operation of the center/campus.
Prepare, receive, and communicate information from administrators and instructors.
Prepare and disseminate routine correspondence as needed.
Assist in creating and updating spreadsheets, databases, and records.
Perform data entry using PC software and the college's academic and administrative
Software.
Keep classroom assignments and directory current.
Assist the Associate Dean in preparing and maintaining payroll and budget information as needed.
Enter student or client service data into the relevant databases or tracking systems.
Keep attendance logs and track participation in center events and services.
Assist in generating and compiling reports on center usage and student engagement. .
Perform general clerical duties such as duplicating material, word processing
documents, typing forms, updating announcements, keeping minutes of staff meetings, etc.
Customer Service
Assist with student or customer information inquiries.
Handle and route in-person, phone, and mail inquiries from students and public.
Assist with the scheduling of off-campus groups as needed.
Maintain notebook/electronic scheduling of special events on activities college wide.
Coordinate and assist with special activities such as luncheons and advisory board functions.
Perform cashiering duties at appropriate centers when applicable.
Use positive, customer-friendly telephone, written, and in-person communication techniques to foster open, clear communication with all internal and external
customers.
Adapt to changes in work schedule as needed to meet customer and center needs.
Understand and be committed to the unique nature and role of the College.

Maintains current licensure, certification, or other professional credentials required for the position.
Pursue continuous improvement in the areas of subject matter expertise, the use of educational technology, and other areas related to the college's strategic goals and its role.
