**Job Title: CSR Scheduler / Dispatcher****Employment Type:** Full-Time**Schedule:** Monday-Friday, 8:00 AM - 4:20 PM (30-minute lunch) or 8:00 AM - 5:00 PM (1-hour lunch)**Additional Requirements:** On-call availability for urgent matters, including evening and weekend monitoring of Housecall Pro (HCP) answering and scheduling service. Overtime may be required as needed.**Position Summary**Adecco has partnered with a customer in Sommers NY and is seeking a CSR Scheduler/Dispatcher which will be responsible for managing all inbound customer communications, aggressively converting leads into booked appointments, coordinating daily dispatch operations, and ensuring accurate financial and administrative processing. This role plays a critical part in maximizing revenue opportunities, maintaining operational efficiency, and delivering exceptional customer service.**Key Responsibilities****Customer Service & Dispatch**+ Answer and respond to all incoming calls, emails, and text messages promptly and professionally.+ Convert incoming inquiries into scheduled service appointments to prevent missed business opportunities.+ Schedule appointments and prepare invoice templates within Housecall Pro (HCP).+ Ensure correct invoice template selection and appropriate sales tax rate based on customer county.+ Confirm customer "display name" is entered under the last name to ensure proper QuickBooks Online (QBO) conversion.+ Schedule and dispatch plumbers daily, adjusting schedules in real time as needed.+ Maintain constant communication with customers regarding appointment confirmations, updates, and schedule changes.+ Assist with booking emergency and same-day service calls, including Saturday emergency appointments.+ Coordinate scheduling for larger projects with clients and contractors.+ Track all ongoing projects, including:+ Deposit collection+ Permit filing and approvals+ Con Edison work request submissions+ Job start readiness+ Monitor nightly and weekend HCP communications to ensure urgent or emergency jobs are scheduled appropriately.**Administrative & Financial Responsibilities**+ Review and reconcile daily invoices transferred from Housecall Pro to QuickBooks Online.+ Ensure no invoices remain open or uncollected without follow-up.+ Verify all daily customer accounts are accurate both financially and operationally.+ Scan and deposit checks into the online banking system and match deposits in QBO.+ Record and reconcile Zelle payments separately.+ Process and reconcile credit card payments:+ Track HCP/MyMoney credit card payments+ Account for processing timelines (2-day bank deposit delay)+ Record accurate net deposit amounts in QBO+ Apply customer names and credit card fees in memo sections+ Match bank deposit amounts correctly within QBO**Qualifications**+ Previous experience in customer service, dispatching, or scheduling preferred+ Strong phone sales and appointment-setting skills+ Experience with Housecall Pro (HCP) preferred+ Proficiency in QuickBooks Online required+ Strong attention to detail and organizational skills+ Ability to multitask in a fast-paced environment+ Excellent communication and problem-solving abilities+ Basic knowledge of bookkeeping and payment reconciliation**Core Competencies**+ Lead Conversion & Revenue Maximization+ Scheduling & Route Coordination+ Financial Accuracy & Reconciliation+ Customer Relationship Management+ Administrative Organization+ Time Management & Multitasking**Pay Details:** $23.00 per hourBenefit offerings available for our associates include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and a 401K plan.
