About the RoleOur client is seeking a highly organized and proactive Program Coordinator to support Above-The-Line (ATL) Talent Development programs focused on directors, writers, and producers. This role is strictly focused on ATL programming and will support the design, execution, and day-to-day management of in-house talent development programs.This role is a blend of program coordination and operations, with a strong emphasis on workflow building, process improvement, and hands-on program execution. You will partner closely with the Manager of Talent Development, who oversees 3–5 programs simultaneously, acting as both a key operator and thought partner to help scale and streamline program delivery.The ideal candidate has prior experience working within studios, production companies, or agencies, with exposure to above-the-line talent and an understanding of how creative environments operate. This role requires strong interpersonal skills, the ability to build relationships with high-level talent, and the resilience to manage complex personalities in a fast-paced environment.Key ResponsibilitiesProgram Operations & Workflow ManagementPartner with the Manager of Talent Development to build, document, and refine workflows across multiple ATL programsAct as a day-to-day operational partner supporting 3–5 concurrent programsMaintain and improve program timelines, trackers, and checklists to ensure smooth executionBuild, update, and manage Airtable bases, including creating new trackers and optimizing existing systemsMonitor milestones, deadlines, and deliverables across programsIdentify inefficiencies and proactively recommend workflow and process improvementsProgram Coordination & Talent ManagementSupport the day-to-day coordination of ATL programs, ensuring seamless execution across all stakeholdersManage and maintain program data, including talent contact information, reels, resumes, and related materialsCollaborate with internal coordinators supporting data entry while maintaining ownership of overall data quality and organizationCoordinate logistics for program activities including masterclasses, workshops, labs, and events (virtual and onsite)Support scheduling across internal teams, external partners, and program participantsCommunicate professionally with high-level creative talent, including showrunners, executive producers, and agents/managersAdministrative, Communication & Meeting SupportMonitor and manage emails, Teams communications, and program updatesAttend meetings with internal teams and external stakeholders; take detailed notes and draft summaries with clear next stepsPrepare and manage program documentation (NDAs, agreements, guidelines, FAQs, etc.)Maintain organized and up-to-date files across shared platforms (Google Drive)Presentation & Reporting SupportDevelop and update presentations, decks, one-pagers, and program materialsAssist in collecting and organizing program data, including participant feedback and engagement metricsSupport reporting and program evaluation effortsProactive Support & Continuous ImprovementAct as a thought partner to the Manager by contributing ideas to improve program structure, workflows, and overall efficiencyAnticipate program needs and proactively suggest tools, templates, and process improvementsMonitor industry trends in talent development and creative programs to inform enhancementsRequired Skills & Experience3–5 years of experience in program coordination, operations, or similar rolesPrior experience supporting programs in entertainment, media, studios, or creative agency environmentsExposure to Above-the-Line (ATL) talent (directors, writers, producers)Experience working with or supporting high-level creative talent (e.g., showrunners, executive producers)Hands-on experience with Airtable, including building and managing bases (not just usage)Strong organizational skills with the ability to manage multiple programs and priorities simultaneouslyExcellent written and verbal communication skills with strong interpersonal and relationship-building abilitiesAbility to work independently as a self-starter while collaborating with cross-functional teamsProven ability to manage challenging personalities with professionalism and resilienceStrong attention to detail with a focus on data accuracy and hygienePreferred SkillsExperience working at large-scale studios, production companies, or entertainment organizationsExperience working within talent development programs or similar initiativesBackground supporting both Above-the-Line (ATL) and Below-the-Line (BTL) environmentsExperience coordinating events, workshops, or masterclassesAdditional DetailsOnsite Monday–Thursday, remote FridayOccasional evening or weekend event support required
