Dispatch / Install CoordinatorWe are seeking a highly organized and detail-oriented Dispatch / Install Coordinator to support our HVAC, plumbing, and electrical operations. This role is responsible for scheduling installations, coordinating technicians, managing job flow, and ensuring excellent communication between customers, field staff, and management. The ideal candidate thrives in a fast-paced environment and is committed to delivering outstanding customer service and operational efficiency.Key ResponsibilitiesSchedule and dispatch teams for HVAC, plumbing, and electrical jobs and installationsCoordinate daily job assignments to maximize efficiency and productivityCommunicate with customers to confirm appointments, installation timelines, and job updatesManage and maintain accurate scheduling software and customer recordsHandle inbound calls related to scheduling, rescheduling, and installation inquiriesMonitor technician availability, workload, and job prioritiesAssist with permit coordination and project documentation as neededResolve scheduling conflicts promptly and professionallyUpdate installation invoices with equipment model and serial numbersMaintain accurate warranty dates on all invoicesAdd complementary membership plans to customer accountsProcess applicable rebates and register equipment for extended warrantiesQualificationsPrevious experience in dispatching, scheduling, or coordination (HVAC, plumbing, or electrical industry preferred)Strong organizational and multitasking skillsExcellent verbal and written communication abilitiesCustomer service-oriented mindsetAbility to work under pressure and meet deadlinesProficiency with scheduling or service management software (ServiceTitan)Basic understanding of HVAC, plumbing, or electrical terminology is a plusHigh school diploma or equivalent requiredSkills & CompetenciesStrong attention to detailTime management and prioritization skillsProblem-solving abilityTeam collaborationProfessional phone etiquetteAdaptability in a fast-moving environmentHeartland Home Service is an equal opportunity employer.
