Operations Manager

We are seeking an exceptional Operations Manager to help lead and manage a high-performing luxury residential real estate business in the San Francisco East Bay.This is an ideal opportunity for a licensed real estate professional who loves the business of real estate and excels at operations and client service, but does not wish to attempt to pitch business and personally sell homes.The ideal candidate is highly organized, detail-oriented, proactive, solutions-driven, and thrives in a fast-paced, service-driven luxury environment. This person will help create structure, accountability, efficiency, and an exceptional client experience across all aspects of the business.This role requires someone who understands white-glove service and can operate at a high level with discretion, professionalism, warmth, and attention to detail.Position TypeFull-time, 9:00 a.m. to 5:30 p.m. (weekend accessibility, but normally no scheduled work, required) Lafayette, CAThis role is designed to be primarily in-office and collaborative. Given the hands-on nature of luxury real estate operations, listing preparation, client service, team coordination, and day-to-day business management, the ideal candidate will work closely alongside the team on a daily basis. This is not a remote or work-from-home position.This is a unique opportunity to become an integral part of one of the East Bay’s leading luxury real estate businesses and help support continued growth at the highest level of professionalism, organization, client care, and service.Key ResponsibilitiesBusiness Operations & AdministrationOversee day-to-day operations of a high-volume luxury real estate businessCreate and maintain operational structure, systems, accountability, and efficiencyAssist with strategic planning, operational improvement, and business growth initiativesImplement and manage workflows, systems, timelines, and operational processesManage and improve CRM, database, and marketing systems including Monday.com, Cloze, Constant Contact, and related platformsHelp build scalable operational systems to support continued business growthAssist in creating organization and consistency across all aspects of the business  Listing Preparation & ManagementOversee all aspects of listings from pre-market through closingCoordinate vendors including stagers, photographers, inspectors, painters, landscapers, cleaners, contractors, and moversManage scheduling, timelines, and execution to ensure every property is presented at the highest levelAssist with pricing strategy, market analysis, and comparative market researchEnsure exceptional attention to detail across disclosures, marketing materials, timelines, vendor coordination, and presentationClient Service & Transaction OversightDeliver a white-glove client experience with professionalism, responsiveness, discretion, and careProvide personalized, hands-on support throughout the buying and selling processAnticipate client needs and proactively solve problems before they ariseCoordinate and manage escrow timelines while working closely with escrow officers, transaction coordinators, vendors, clients, and agentsAssist with buyer management, private showings, and client communicationHelp oversee transactions from contract through closingManage high-level email correspondence and communication flowEnsure clients feel informed, supported, and exceptionally cared for throughout every stage of the transactionTeam Leadership & CoordinationManage assistants and support staffLead daily team callCreate accountability and ensure projects and timelines are executed efficientlyPrioritize daily responsibilities and maintain operational flow across multiple active listings and transactionsServe as a central point of coordination between clients, vendors, agents, and internal team membersFoster a positive, professional, team-oriented environment focused on excellence and client serviceIdeal CandidateActive California real estate license preferred5+ years of experience in residential real estate operations, transaction management, listing management, executive support, or luxury real estate administrationStrong understanding of luxury residential real estate and elevated client service expectationsExceptional organizational and project management skillsCalm under pressure with the ability to manage multiple moving pieces simultaneouslyDetail-oriented with excellent follow-throughStrong written and verbal communication skillsTech-savvy and comfortable implementing operational systems and processesProfessional, polished, discreet, and service-orientedStrategic thinker with a growth mindset and operational leadership capabilityTeam-oriented contributor who enjoys being behind the scenes helping to build and support a successful business rather than attempting to pitch business and personally sell homesCompensationCompensation will be commensurate with experience and will include:Competitive salaryPerformance-based bonus structure
