Client Experience & Front Office Coordinator

Position SummaryWe are seeking a highly polished, detail-oriented professional to manage our front office and deliver aconsistently elevated client experience. This role serves as the first point of contact for clients and isresponsible for maintaining a presentation-ready environment across all client-facing areas of the office.This position blends hospitality, administrative support, and front-of-house coordination in a high-end,design-focused environment.Key ResponsibilitiesClient Experience & HospitalityGreet clients and visitors with professionalism, confidence, and warmthProvide beverage service (coffee, water, wine, and light refreshments) for client meetingsPrepare and maintain conference rooms for client meetingsAnticipate client needs and ensure a seamless, high-end experience from arrival throughdepartureFront Office & Environment ManagementMaintain a consistently clean, organized, and presentation-ready front office and reception areaEnsure all client-facing spaces (lobby, conference rooms, and visible work areas) are maintainedto a high standard at all timesProactively address minor presentation items (e.g., tidying surfaces, resetting spaces) andcoordinate with internal teams or cleaning services for larger needsCoordinate internally to ensure the office remains tour-ready throughout the dayIdentify and address presentation issues proactively or escalate as neededAdministrative SupportAnswer and direct incoming phone callsManage incoming and outgoing mail and deliveriesAssist with scheduling and calendar coordinationMaintain accurate client records and update internal systems (CRM)Operational SupportAssist with preparation of client proposals and presentation materialsTrack and manage office supplies and inventoryCoordinate with vendors and service providersSupport internal team members with administrative and coordination tasksQualifications2+ years of experience in a client-facing role (hospitality, front office, or administrative support)Strong communication and interpersonal skillsProfessional presence aligned with a high-end client experience environmentHigh level of attention to detail and situational awarenessAbility to multitask and prioritize effectively in a dynamic environmentAbility to take ownership of front-of-house operations and maintain standards independentlyDemonstrates pride in delivering a high-quality, well-presented experienceCompensationExperience in hospitality or beverage service strongly preferredHourly rate: $25–$28/hour, depending on experienceFull-time positionWeekdays 8am-5pmBenefits and generous PTO availableWork EnvironmentHigh-end office setting with a strong emphasis on design, presentation, and client experienceTeam-oriented environment with shared responsibility for maintaining a clean, organized, and professional workspace
