Our commitment to professionalism and respect sets us apart, and we are looking for someone who shares our values.Summary Of Who We Are Looking For:The Client Relations Specialist will be responsible for managing day-to-day client interactions, ensuring that all incoming potential client leads and ongoing client relationships are handled with care and professionalism. This role is critical to our firm, as it ensures that client interactions are timely, organized, and efficiently managed to foster long-term, positive relationships.Our ideal Client Relations Specialist takes initiative and is always ahead of the game, anticipating the needs of both potential and current clients. You will be instrumental in managing client appointments, following up on leads, and maintaining consistent communication internally and externally to ensure our clients feel supported every step of the way.Our Client Relations Specialist will work in our office in Marietta, Georgia, near the historic Marietta Square.Key ResponsibilitiesClient Interaction & Lead ManagementAnswer all calls and incoming leads promptly and follow up with potential clientsManage client inquiries, ensuring that each interaction is professional, empathetic, and solution-focused.Schedule appointments for consultations and meetings, maintaining an organized calendar.Regularly reach out to clients via phone or email, cultivating strong, authentic relationships with them.Sales Support & Client Engagement:Support the firm’s intake process by helping guide prospective clients through their initial interactions with warmth, empathy, and professionalism.Assist attorneys and the Client Relationship Manager in preparing for consultations by ensuring all relevant information is organized and accessible.Follow up with prospective clients after consultations to provide additional support, answer questions, and help them feel confident in their decision-making process.Track client engagement and next steps within our CRM, Clio, helping the team stay organized and responsive.Collaborate with the team to continuously improve the client experience, sharing insights and observations from client interactions.Appointment Scheduling & Coordination:Assist the Client Relationship Manager with scheduling and confirming potential client appointments.Organize and coordinate meetings between clients and attorneys, ensuring a seamless experience.Client Reception & Support:Greet clients upon arrival at the firm, ensuring they feel welcomed and comfortable.Provide support to clients during their visit, ensuring a positive experience from start to finish.CRM System & Documentation:Use Clio system to track potential and current client interactions, appointments, and case statuses.Maintain accurate records and follow up on key action items with team as needed.Collaboration & Communication with Team and Clients:Work closely with Attorneys, Paralegals, Client Relationship Manager, and other team members to ensure smooth client onboarding and ongoing service.Draft and send professional emails, including appointment confirmations, case updates, follow-ups, payment reminders, and other necessary correspondence.Ensure all communications are timely, clear, and aligned with the firm's standards of professionalism and empathy.Office Maintenance & Support:Ensure that incoming mail and correspondence are routed to the appropriate person in a timely manner.Prepare conference rooms for meetings, ensuring the space is clean, organized, and set up with all necessary materials.Order office supplies and maintain inventory, ensuring that essential materials are always available.Keep the office tidy and organized by ensuring common areas are neat and presentable throughout the day.Maintain Client Confidentiality & Firm Policies:Uphold the highest standards of confidentiality and professionalism in all client interactions.Ensure compliance with firm policies and procedures at all times.QualificationsProven experience as a client/customer service representative in a fast-paced environment (on the phone, inbound and outbound calls, and booking appointments). A minimum of five + years experience.Five years of expertise in Microsoft Suite (highly proficient to expert level).Two years of experience with any CRM system.Strong phone skills and a love for customer interaction.High level of organization, a detail-oriented work ethic, and an efficient multitasker.Tech-savviness, ideally with experience in Clio or a willingness to learn.Ability to remain calm and composed in high-pressure situations.Warm, welcoming, and professional personality.Prefer formal training in customer service skills. Two+ years of experience working with high-net-worth clients is a plus.High school diploma; BS in Business or relevant field is a strong advantage.
