MultiTracks.com is seeking a passionate Event Coordinator to join our company! The Event Coordinator will play a pivotal role in ensuring our operations run smoothly by providing exceptional support across various functions. You will use your event planning expertise to coordinate corporate events, MT Conference, team-building activities, and other gatherings both large and small. Additionally, you'll help manage day-to-day tasks including travel planning. This role is in Cedar Park, Texas and can be fully in-office or open to the possibility of a hybrid schedule.

What You’ll Do:
Plan and execute large-scale corporate events, conferences, team retreats, and other company gatherings
Manage event logistics, including vendor relationships, budgeting, venue selection, catering, and on-site coordination
Coordinate virtual or hybrid events with attention to detail, ensuring smooth execution
When schedule allows, provide support in various departments as needed, ensuring a collaborative and seamless working environment
Work alongside a team of in-office and remote administrative professionals, communicating, collaborating, and cross-training to support each other as needed
Demonstrate tact, diplomacy and discretion in all interactions
Own end‑to‑end planning and execution of Team Week, the company’s annual mandatory all‑staff gathering, including timelines, budgets, travel, lodging, meals, activities, and programmed experiences
Lead all guest‑facing logistics and internal coordination for the company’s flagship external conference, including speaker and artist travel and hospitality, detailed planning timelines, cross‑functional collaboration, volunteer and team logistics, and on‑site execution to ensure a seamless experience from pre‑planning through show week.
provide daily administrative support for WHOLE.org (our non-profit for worship leadership formation) along with ministry leadership for small groups on the WHOLE.org journey.
Event management for MT Conference and any in person gatherings for WHOLE.org.
Liaison for outside guests a part of any of our in person events.
Requirements:
Minimum of 5 combined years of experience as an Administrative Assistant, Executive Assistant, Event Coordinator, Project Manager or similar roles
Proven experience planning and executing large-scale events or corporate functions is a must
Excellent time management and organizational skills with the ability to manage multiple priorities simultaneously
A meticulous eye for detail
Strong written and verbal communication skills, with the ability to liaise professionally with vendors, guests, and team members
Proficiency in Microsoft Office and event management tools or platforms
Flexibility to be on-call outside of regular business hours as-needed (minimal)
Willingness and ability to learn new software as needed
A can-do attitude with an aptitude for excellence
A genuine desire to support your team and go above and beyond to ensure their success
Bonus but not required:
Previous experience in the SaaS industry or Music Industry
Familiarity with MultiTracks.com products
Event Management and or Customer Relationship Management Software Training
Additional Certifications such as Certified Meeting Professional (CMP), Certified Special Events Professional (CSEP), Project Management professional (PMP) or other similar certifications with an Events Management, Administrative, or Project Management Specialization
