We are seeking a reliable and highly organizedAdministrative Assistantto support the daily operations of the club and help maintain structure across all systems.Role OverviewTheAdministrative Assistantis responsible for managing the club’s day-to-day administrative functions, including communication, scheduling support, billing, and general office operations.
This is afull-time, in-office role (9–5)that requires someone who is:

You will work closely with leadership and coaching staff to ensure thatoperations run smoothly and communication stays clear and consistent .Key Responsibilities1. Front Office & CommunicationAnswer and managephone calls, emails, and daily inquiries
Serve as a point of contact for parents, players, and new prospects
Provide accurate information regarding programs, schedules, and registration
Ensure timely and professional communication at all times
2. Billing & Administrative SupportManagebilling, invoices, and payment tracking
Assist families with account questions and payment-related concerns
Maintain organized financial records and administrative documentation
Support backend systems such as registration platforms and spreadsheets
3. Scheduling & Program SupportAssist withpractice schedules, court assignments, and calendar updates
Support coordination of clinics, camps, and club programming
Help ensure all schedules are accurate, updated, and clearly communicated
Assist with tryout organization and general program logistics
4. Office Operations & OrganizationMaintain organized systems for:
Player rosters
Schedules
Communication records
Administrative files
Support daily office operations and ensure a structured environment
Assist with preparation for meetings, events, and internal needs
5. Staff & Leadership SupportProvide administrative support toclub leadership and coaching staff
Assist with coordinating internal communication and documentation
Help ensure coaches and leadership have what they need to operate efficiently
6. Community & Event SupportAssist with organizingclub events, clinics, and community initiatives
Support communication and coordination for community service efforts
Help maintain a positive and professional club presence
QualificationsxywuqvpRequiredAbility to workin-office, full-time (9–5)
Strong organizational and multitasking skills
Excellent communication (phone, email, in-person)
High attention to detail and follow-through
Ability to work in a fast-paced environment
PreferredPrevious administrative or office experience
Experience in youth sports, athletics, or service-based environments
Familiarity with scheduling systems or registration platforms
