This is not an entry-level admin role. This is a mission-critical position that directly impacts technician efficiency, customer satisfaction, and company performance.If you thrive in organized chaos, love solving logistical puzzles, and take pride in running tight operations — this role is for you!What You'll Own:Dispatch & Scheduling LeadershipServe as the command center for all incoming service callsSchedule and dispatch technicians for maximum efficiency and profitabilityMonitor GPS tracking to manage workflow and maintain schedule integrityProactively communicate with customers regarding arrival times and updatesDebrief technicians after each call and ensure accurate, detailed documentationCoordinate follow-ups, parts orders, and next steps across departmentsSchedule approved work orders and parts replacements strategicallyManage all dispatch-related communication with urgency and professionalismCoordinate technician vehicle maintenance schedulingParticipate in monthly rotation of the Emergency After-Hours Line (additional compensation provided) Parts, Inventory & Warranty ControlOrder and track all parts and materials for service jobsEnsure warranty parts are returned and processed properlySubmit and track warranty claims to secure vendor creditsMaintain accurate vendor debit/credit recordsRegister system and labor warrantiesMaintain refrigerant documentation in compliance with regulationsKeep inventory records organized and up to date Operational & Administrative SupportMaintain clean, organized digital and physical filing systemsKeep spreadsheets, reports, and calendars updated dailySupport leadership with reporting and special initiativesHelp improve processes and tighten operations Who Thrives Here2+ years in dispatch, service coordination, or parts/warranty administrationHighly organized and confident multitaskerStrong communicator who can manage technicians and customers professionallyDetail-oriented with a high sense of accountabilityComfortable working independently and making decisionsExperience in HVAC, plumbing, or service industries strongly preferred This role requires someone who doesn't wait to be told what to do — you take ownership and make things happen!What We OfferCompetitive pay based on experienceHealth, dental & vision insurancePaid holidays & vacationAdditional compensation for after-hours phone dutyOngoing training and growth opportunitiesA stable, locally respected company with strong leadershipA role where your performance truly matters Why This Role is DifferentAt many companies, dispatch is treated as a support position.
