Office Administrator Job DescriptionOffice Administrator Duties:Financial and fiduciary managementAssist Board Treasurer as needed.Correspondence and databaseHandle correspondence, as requestedCopy and distribute reports, especially prior to Board meetingsProduce reports as needed by the Board and PastorAssist with making sure deadlines are metUpdate and distribute Board Packet information for new ECM Board MembersMaintain paper and electronic filing systems and regularly backup electronic filesOrganize, update, and maintain ECM Google Drive recordsMaintain student and donor database recordsSchedule and manage appointments and meetings using Scheduling Software approved by the PastorMaintain office supplies including orderingAnswer the office phone and organizational emails, including ECM building space rental inquiriesPersonnelAttend weekly meetings with ECM staff Attend a weekly meeting with Campus PastorPublicity and promotions as assigned by the interns and PastorDevelop and distribute newsletters on a regular scheduleDevelop and distribute other promotional materials, as neededAssist with marketing the ECM building space for use according to our policy and proceduresMake sure to coordinate with Board on building use and needsStay up to date on Marketing and Web PresenceCoordinate/Manage Web Presence (including Social Media) as assigned by the internsEnhance communication with students and others through Facebook, Twitter, Instagram, etc.Monitor and regularly update information on ECM social media and the websiteECM CenterBe the staff member to assist with student needs in the ECM CenterMaintain ECM cleanliness and organization per Campus Pastor’s standardsMaintain the refreshment area, printers, and WiFi accessTake the trash and recycling out, if intern does not or is not present *Other duties, as assigned by Chair of the Board and Pastor.Work Schedule The Administrative Assistant works 40 hours/week, on-site, on a mutually agreed upon set schedule to help ensure a staff member is always present during ECM Center hours. At times, deadlines or emergencies may require an adjustment to the set schedule.  Prerequisite skillsProficiency in Microsoft Word, Outlook, Excel, QuickBooks, Social Media (TikTok, Facebook, Instagram, etc.), Google Calendar (Google Scheduling Software), or willingness to learn, is required. The successful candidate will be a self-starter with a gift for hospitality and able to work effectively in an office setting.AccountabilityThe Administrative Assistant is hired by the ECM Board of Directors, and supervised by the ECM Campus Pastor, who reports to the ECM Board of Directors. There will be weekly staff meetings, plus reviews every three months the first year, and every year thereafter.Compensation$20/hour for 40 hours per week.
