Tradeshow Event Manager

Our client, a leading entertainment and event company, is seeking a Sponsorship Fulfillment Manager to support the Sponsorship Sales Team by providing account management, operational support, and white-glove service to key sponsors and licensees. This role serves as a critical liaison between the sponsors, licensee teams, and show management, ensuring clear communication, creative problem solving, accurate documentation, and timely execution of all operational milestones.The ideal candidate is detail-oriented, thrives in a fast-paced environment, and has expertise in trade shows and large-scale events. This position is key to ensuring sponsor satisfaction and repeat participation. The role reports to the Sponsorship Fulfillment Lead and works closely with the Sponsorship Sales team, show management, and event logistics teams.Key ResponsibilitiesAccount ManagementManage up to 25 sponsor accounts.Populate and maintain Sponsor Portal with coordinator support.Create and distribute sponsor newsletters and pre-event "Know Before You Go" documents.Develop sponsor information sheets with key dates.Coordinate media bag gifts and communications with sponsors.Organize 2–3 webinars with sponsor contacts to review the Exhibitor Services Kit, including Q&A sessions.Conduct weekly update calls with Sponsorship Sales and Fulfillment teams.Schedule and lead initial calls with each sponsor to discuss timelines and booth assignments.Manage all logistics related to assigned sponsors, including:Collecting High-Level and Detailed Experience PlansReviewing booth designs and feedbackCollecting Certificates of Insurance (COIs) and submitting to legalCoordinating electrical and internet diagrams with internal teamsDeveloping lead retrieval strategiesManaging in-booth talent, activations, and logistics (crowd control, security)Advising and sourcing production items for sponsor activationsProviding all signage copy for sponsor activationsEvent ExecutionServe as primary point of contact for assigned sponsors during load-in, event days, and load-out.Coordinate EAC wristbanding and sponsor activation fulfillment.Collaborate with event producers to ensure smooth execution of all sponsor activations.Contribute to post-event feedback reports.Qualifications5–7+ years of experience in sponsorship or trade show management.Proven ability to manage multiple complex stakeholders.Strong organizational, documentation, and communication skills.Ability to work cross-functionally and manage multiple priorities in a high-pressure environment.Bachelor's degree or equivalent experience.Trade show and large event expertise required.Experience with sponsors or licensees in entertainment or events is a plus.Location: Glendale, CADuration: 0–8 monthsStart Date: February 1Schedule: Feb–Apr: 25–30 hours/week | May–Aug: 40 hours/weekJ-18808-Ljbffr
